POSITION SUMMARYThe purpose of the Property Manager position is to execute the process of maintaining and creating value in real property consistent with property owner’s objectives through the efficient balance of tenant and owner relations, financial budgeting and expense control, risk management and all other operational aspects of the property with the highest standard of professional ethics and performance quality.The Property Manager strives to create loyalty among customers by providing a superior level of service and by creating and maintaining positive customer relationships. The Property Manager also plays a key role in interdepartmental communication and coordination to ensure that each process and department exceed customers’ expectations.The Property Manager’s responsibilities include both the Uniland portfolio of properties and agreements as well as third-party managed customers. Property Managers directly manage a portion of the Uniland and third-party portfolios under management contract. The position is responsible for creating value for the customer, company, and department.ESSENTIAL DUTIES AND RESPONSIBILITIESEnsure a "Best in Class" experience for tenants/customers by maintaining a consistently high level of service/responsiveness.Performs frequent visitation with tenants for development and maintenance of quality relationships, contract compliance, and operations.Engender superior tenant relations, engagement, satisfaction, and retention by maintaining a high-level of involvement with Tenants and through first class customer service, frequent interaction and building events.Ensure that services are provided in compliance with policies, procedures, regulations and contractual obligations and standards.Addressing any open maintenance matters including building violations and DOB compliance in a timely mannerMonitors and responds to after hour emergencies and business needs.Analyze tenant requests and assess for systematic issues and opportunities for improvement. Responsibilities involve a broad range of property management functions, including, but not limited to, budget preparation and execution, building operations, facility maintenance and repair, tenant relations, and project management.Adherence to Property Management operational policies and proceduresMaintain and operate the Yardi System in accordance with PM process and procedures.Site inspections and adherence to preventative maintenance schedules as well as Fire and Life Safety processesConduct regular inspection walk-throughs of common areas, including lobbies, multi-tenant corridors and restrooms and building exterior. Ensures property, personnel and trades are compliant with Building Rules and Regulations, City codes and ordinances, labor regulations and collective bargaining agreements.Maintains a focus on prevention of problems and issues in accordance with Insurance liabilities.Performs thorough and critical building and site inspections. Prepares reporting of and recommendations for repair, improvements, and risk management items from these inspections.Continually recommends correction and improvement needs and recommendations which will sustain and/or improve condition, functionality, quality, and competitive position.Attend New Tenant project meetings, oversee project, cost estimates, and insures timely completion.Manage tenant improvement projects and common area improvement projects. Coordinate with onsite/maintenance on assisting with daily duties as well as compliance.Follow up with Maintenance/vendors to confirm timely completion of periodic scope of work items.Manages amenities such as parking, storage, and fitness centers to maximize income and value to customers.Participates in competitive bid procurement and processes, including assembly of packages, pricing, negotiations, and selection recommendations.Review and recommend approvals for issuance of purchase orders and accurate tracking and payment of vendor invoices.Responsible for supervising, planning, budgeting, and control of operating and capital expenditures Preparation of annual budgets, forecasts, management plans, monthly financial reports, and variance reportsProvide explanation for variances with documentation.Manages and monitors income, expense, and net operating income of properties.Monitors and controls expenses for proper allocation, work completion and quality.Recommends revenue, income, cost control and saving ideas in any areas, such as services, utilities, procedures, equipment, etc.Responsible for the overall administration of contract terms, including but not limited to Lease and Management Agreements, ensuring contract compliance, proper record keeping, and coordination with Lease Administration & Asset Management, and Department Management.Assists Account Executives with leasing functions such as preparation and showing of new or renewal space and meeting with existing clients regarding lease renewal.Promotes marketing programs and efforts designed to maximize occupancy in both commercial and residential spaces.Other duties may be assigned accordingly.SKILLS AND QUALIFICATIONSTo perform this job successfully, an individual must be able to perform each Essential Duty and Responsibility satisfactorily and meet or exceed the requirements.
