Our busy legal firm is looking for an efficient, organized legal assistant to help our attorneys and paralegals assist our clients and ensure we’re operating efficiently. You’ll assist with the preparation of legal documents, and handle all office correspondence including answering phone calls and emails, arranging meetings, and reminding the team of upcoming deadlines. Responsibilities: • Schedule meetings and appointments for the team, and follow-up contact with potential clients. • Take care of administrative tasks and office correspondence by answering phone calls and emails and communicating with clients, • Assist with the creation of various documents, including binders and mailings, proofreading documents as needed. • Organization of client files, data entry, scanning and copying of documents, and handle outgoing mail. • Develop and maintain written procedures. • Attend client/attorney meetings to record meeting minutes. • Deed coordination. • Coordination with funding coordinator and updating of funding documents. • Evening signing of legal documents, as needed. • Org. and upkeep of client pipeline. • Undertake other duties as needed to ensure the firm operates efficiently. Qualifications: • High School diploma or equivalent is required; an associate's degree is preferred. • Positive, energetic, and professional attitude. • Ability to work effectively in a fast-paced environment and meet deadlines with quick turnaround times. • CRM experience is preferred, but not required. • High-level organizational and time-management skills. • Exceptional communication and customer service skills are crucial. • Evening availability 1-2 days per week. • Ability to work effectively in a small office environment and commitment to full-time in-office work. • Candidates must be team players with a mindset posed for growth.
