Position Overview
The Assistant Program Administrator is a pivotal role within the IAHD Day Habilitation program, ensuring the safety, compliance, and operational effectiveness of the program. This role demands a high level of responsibility, oversight, and interaction with both internal and external stakeholders, including individuals served, staff, parents, and funders. The ideal candidate will demonstrate a strong commitment to the well-being of individuals in the program, exhibit leadership in compliance and possess the ability to effectively manage and develop staff.
Key Responsibilities
Safety and Well-being Oversight : Ensure the overall safety and well-being of all individuals participating in the IAHD Day Habilitation program through proactive measures and continuous monitoring.
Compliance and Auditing : Responsible for the corporate compliance effort of the program to include weekly billing and quarterly internal audits. Ensure adherence to all regulatory and agency policies.
Operational Management : Monitor program census and units utilization to maximize efficiency and effectiveness. Manage petty cash, including distribution and monthly reconciliation with the Director of Adult Day Services & Fiscal Department.
Program Direction and Quality Control : Provide effective and continuous direction, overseeing day-to-day operations and ensuring the quality and quantity of services delivered meet the highest standards.
Staff Management and Development : Play a key role in hiring, training, supervising, and disciplining staff as necessary. Foster a culture of continuous improvement and professional development among team members.
Stakeholder Engagement : Maintain professional interactions with all internal and external stakeholders, including parents and funders, ensuring transparent communication and collaboration.
Regulatory Compliance : Ensure that daily procedures and practices align with agency policies and that the program consistently meets all applicable regulations.
General Duties
Staff Supervision and Performance Management : Provide leadership and direction to Day Habilitation staff, including deploying staff efficiently and managing performance.
Operational Support : Oversee the timely processing of payroll, purchase orders, and petty cash. Take the lead in incident management and reporting.
Strategic Participation : Participate in department head meetings and the Adult Day Service committee, contributing to the strategic direction and operational excellence of the program.
Staff Coordination and Development : Schedule and lead staff meetings, resolve conflicts, and review habilitation plans for clinical and instructional efficacy.
Liaison Work : Act as the primary liaison to all internal and external stakeholders, facilitating effective communication and collaboration.
Qualifications
Educational Requirements:
Masters Degree in administration or psychology, social work, or Mental Health with 3 years of experience working with people with intellectual and developmental disabilities.
OR
BA in the Human Service or Social Sciences with 3 years of experience working with people with intellectual and developmental disabilities.
Must have 1 year of administrative experience
Required Skills:
Self-starter, excellent communication skills, Ability to work under pressure
High energy and the willingness to work as a team player
Knowledge of OPWDD, OMIG, DOH , and DFS regulations
