Administrative Assistant . Ideal candidates are those who have worked for a construction company, handling subcontracts, sub payments, purchase orders, and owner billings. This position is located onsite in Charlotte, NC.
Responsibilities:
Office Assistance:
Manage office supplies and deliveriesAnswer phones and greet visitorsFinalize and deliver bids/proposalsSupport hiring needs and office appearanceAssist with travel and community service projectsAid project teams with daily tasksProject Assistance:
Set up projects per company policiesSupport project teams across multiple projects, multi-tasking between 3-10 projects with varying scopes of workPrepare billing documents and collect subcontracts/purchase ordersAdminister contracts and process vendor invoicesMaintain job records and facilitate project closeoutEnsure compliance and ethics in documentationDivision Assistance:
Support EEO compliance on federally funded projectsManage division contract approvals and provide administrative backupAssist with office tasks like mail management and schedulingSkills, Knowledge, Qualifications, & Experience:
2 years of administrative experience (construction industry) or an Associate's Degree with 1 year of experienceHigh School Diploma or GEDStrong communication skillsProficient in Microsoft Office, multi-line switchboards, and office equipmentValid driver's license for company business
