Job Details

This role reports to the Director of Human Resources and directly manages a team of four Payroll Specialists. You will be responsible for overseeing and supervising the payroll functions across multiple U.S. entities, ensuring timely and accurate pay processing in compliance with government regulations. This position requires collaboration with various departments and effective management of relationships and deliverables.

Your Responsibilities

Managing

  • Managing a multi-entity, multi-state, full-cycle semi-monthly and bi-weekly payroll process.
  • Driving sustainable and scalable process efficiencies and strengthening internal controls.
  • Overseeing the team’s daily workflow and priorities, providing professional and technical guidance, and mentoring.
  • Handling escalated issues.
  • Overseeing and supporting period-end payroll and year adjustments, reporting, and all quarterly and end-of-year payroll tax filings (e.g., W-2s).
  • Reviewing payroll reports, reconciliations, analysis, and other deliverables.
  • Publishing annual payroll and holiday calendars.
  • Managing payroll communications.

Processing Payroll

  • Managing timecard processes for approximately 1,500 employees. Reviewing accuracy and completeness of overtime, vacation, sick leave, and other absences.
  • Ensuring 401(k) elections and employer contributions are accurately reflected in payroll systems (e.g., ADP, Fidelity) and the general ledger.
  • Processing adjustments and allowances such as garnishments, supplemental wages, and stipends.
  • Preparing and managing multi-state tax filings.
  • Coordinating with HR and Benefits teams to process and administer benefits, salary increases, policies, procedures, and employee onboarding/terminations.

Compliance

  • Communicating new laws and regulations that impact employee pay and related obligations.
  • Facilitating efficient and timely payroll audits.
  • Overseeing garnishment processing in compliance with state and federal laws.
  • Review reconciliations between wage and labor details and reconcile payroll as needed.
  • Performing audits of payroll details for accuracy and ensuring compliance with quality assurance measures and maintaining procedural manuals.

Required Skills, Qualifications, And Experience

  • 5+ years of full payroll processing cycle experience.
  • Bachelor's degree in Business Administration, Human Resources, Accounting, or related field.
  • Knowledge of multi-state payroll tax regulations.
  • Strong understanding of payroll processing and accounts payable.
  • Excellent verbal and written communication skills.
  • Strong coaching and development skills.
  • Experience with ADP WorkForceNow, ADP Workforce Manager, Tier 1 ERP (e.g., SAP, Oracle), and proficiency in MS Excel and MS Word.
