Overview

Program Administrator (PEOC3T):

Bowhead is seeking a Program Administrator to support our PEO C3T contract in Aberdeen, MD. The Program Administrator is responsible for performing a wide variety of administrative, advisory, writing, preparation actions, scheduling, logistical, personnel management, automation, and integration activities in support of the HQ staff directorate.

The Program Administrator (PA) will provide support to the HQ staff directorate (HQSD), acting as the focal point of contact for HQSD support. The PA serves as the liaison between the HQSD and visitors to the HQSD, as well as the immediate point of contact for HQSD in terms of schedule managing, travel coordination and general office support. The PA determines appropriate read-ahead material, preparation reviews, and other requirements to promote clarity and allow for decisions from the HQSD. The PA establishes plans and programs based on changing situations. The PA will exercise wide discretion in the achievement of missions based upon an intuitive knowledge of the HQSD’s goals. The PA will confidently interface with higher level technical experts. Assignment requires that the PA apply a thorough knowledge of subordinate activities and outside agencies; a thorough knowledge of administrative requirements; and a high level of tact, diplomacy, and ability to meet and deal effectively with senior-level military and civilian officials.

Responsibilities

Analyzes unit operating practices, such as record keeping systems, forms control, personnel and budgetary requirements, and performance standards to create new systems or revise established procedures.

Studies methods of improving work measurements or performance standards.

Coordinates collection and preparation of operating reports, such as time-and-attendance records, budget expenditures, and statistical records of performance data.

Drafts narrative, financial, and statistical reports.

Prepare official correspondence within the guidelines prescribed in Army Regulation (AR) 25-50, and be well-versed in Army correspondence practices

Maintain organizational chart, emergency and office contact rosters, and calling trees

Maintain a professionalism commensurate with the environment of an Army HQ staff directorate support office

Assisting with calendar maintenance, meeting support, action item and document staffing and tracking, personnel contact information maintenance, and correspondence review and update

Greet and guide all visitors and callers

Develop and coordinate executive travel itinerary and well as provide expert advice for Defense Travel System (DTS)/travel requests for civilian and military personnel

Track that Government personnel are entering Automated Time Attendance and Production System (ATAAPS) timecard information on time and accurately.

Assist with personnel in/out processing

Other duties as assigned

Qualifications

High School diploma or equivalent PLUS a minimum of five (5) years of relevant experience in an administrative environment (similar to the tasks above). 1 academic year at a technical school in an accredited business related program may be substituted for 1 year of experience

Defense Travel System experience required

Intermediate to advanced level skills in Microsoft Office software suite - Word, Excel, Outlook, PowerPoint

Ability to communicate effectively with all levels of employees and outside contacts

Strong interpersonal skills and good judgment with the ability to work alone or as part of a team

Physical Demands:

Must be able to lift up to 20 pounds

Must be able to stand and walk for prolonged amounts of time

Must be able to twist, bend and squat periodically

SECURITY CLEARANCE REQUIREMENTS: Must currently hold a security clearance at the Secret level. US Citizenship is a requirement for Secret clearance at this location.

Salary range is $60,000-70,000 commensurate with experience.

The pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data, applicable bargaining agreement (if any), or other laws.
