Overview
We are looking to hire a highly motivated and organized Executive Assistant to support our founder. Baird Architects is an innovative, energetic architecture firm with offices in New York City and Mount Desert Island, Maine. Our firm's work ranges from high-end residential to commercial and cultural at varying scales. Our investigations into the unique material language of each project are tempered by a sensitivity to economic and environmental concerns.
The Executive Assistant position requires an organized and detail-oriented individual with a passion for Art, Architecture, and the Environment and an interest in learning about the operation and management of a design-driven architectural practice. The ideal candidate is self-motivated and can assist the Founding Principal with executive administration, contracts, scheduling, travel, and planning. This is a key employee who serves as the nexus of communication amongst firm architects and the Founder. They are essential to the day-to-day functioning of the studio and will be responsible for a variety of tasks including the following:
- Providing support to Founder, including drafting letters and emails, contracts, scheduling meetings and appointments, and filing.
- Coordinating travel.
- Monitoring and updating to-do list.
- Coordinating and planning firm events, including client meetings, lectures and presentations, and office meetings and parties.
- Act as a liaison between the Founder and external parties.
- Assist with studio marketing, Instagram, awards, and publications.
Qualifications:
- Bachelor's Degree.
- Previous administrative or marketing experience.
- Have a vested interest in art, architecture, environment, and design.
- Must be a self-starter and be able to multi-task and thrive in a fast-paced environment.
- Work with a sense of energy, passion, and personal responsibility.
- High level of organization and attention to detail.
- Excellent written and oral communication skills, with experience with writing professional email correspondence.
- Strong interpersonal skills.
- Promote collaboration across all disciplines, with both professional and administrative teammates.
- Proficiency with Microsoft Office is required, and experience with the Adobe Suite (particularly InDesign) is preferred.
Salary starting at $65,000, commensurate with experience, as well as full health benefits covered 100% by the office.
