Job Summary The High School Extracurricular Account (ECA) Treasurer / Athletic Director Secretary is responsible for managing financial transactions related to student extracurricular activities and athletics while providing administrative support to the Principal and Athletic Director. This role ensures accurate record-keeping, budget oversight, and efficient day-to-day operations within the school ECA accounts and athletic department.
Key Responsibilities: Financial Duties:
Complete and submit monthly, semi-annual, and annual reconciliations to the State Board of Accounts in a timely manner Manage and maintain all financial records for student extracurricular and athletic accounts. Process deposits, payments, and purchase orders while ensuring compliance with school and State financial policies and procedures. Track income and expenses for extracurricular accounts (athletics and non-athletics teams and clubs). Prepare financial reports, reconcile accounts, and assist in budget planning. Handle fundraising revenue, ticket sales, and concessions inventory/financials, including cash transactions Strictly adhere to money handling guidelines with respect to cash business transactions, ticketing, gate setups, and gate closeout Ensure timely payments for officials, vendors, and event-related expenses Ensure timely payments for school ECA purchases and reimbursements to vendors and school staff Provide training and support for district ECA business across the entire district, as assigned Handle general office duties such as answering phone calls, emails, and filing documents, when assigned
Administrative Support:
Serve as the primary point of contact for coaches, athletes, parents, and school staff regarding athletic events, schedules, policies, events, and updates Assist with the distribution of athletic information, including newsletters, flyers, and announcements Answer phone calls, emails, and in-person inquiries regarding athletic events, schedules, or policies Assist the Athletic Director with scheduling games, transportation, and facility use Maintain and update rosters, eligibility records, physicals, and required documentation for student-athletes Coordinate communication with coaches, parents, and school staff regarding schedules, policies, and events Manage inventory and order supplies for athletic programs Manage vending supply ordering, stocking, and inventory tracking Assist with organizing award ceremonies, banquets, and special events Manage student worker jobs and assignment of duties
Qualifications & Skills:
Experience in bookkeeping, accounting, or financial management is highly desirable. Strong organizational and multitasking skills with attention to detail. Proficiency in Microsoft Office (Excel, Word) and Google software. Excellent communication and interpersonal skills. Knowledge of school district policies and athletic regulations is a plus.
