Position Overview
The primary function of the Executive Project Manager is to ensure the smooth execution of strategic priorities, fosters communication and alignment across stakeholders, and supports high-level administrative functions critical to expanding PACE programming into new regions. The Executive Project Manager is a high-impact, dual-function role that provides strategic project leadership and coordinated executive support for the Vice President of PACE Strategy and Development.
Essential Job Functions
Strategic Project Management
Lead cross-functional project planning, execution, and reporting for PACE expansion initiatives and other strategic priorities. Facilitate clear communication within leadership and across external stakeholders to support continuity and responsiveness. Develop and maintain project plans, timelines, milestones, communication logs, and status dashboards. Coordinate interdepartmental and interorganizational collaboration to ensure timely delivery of objectives. Support stakeholder engagement strategies through preparation of briefings, outreach trackers, and collaboration tools. Monitor follow-through on strategic action items from leadership meetings, external partners, and internal workgroups. Draft, format, and edit documents including proposals, presentations, reports, correspondence, and policy manuals. Create and implement processes that support scalable project execution, outcome tracking, and resource allocation. Maintain a flexible and balanced work schedule to accommodate evolving demands and occasional extended hours, ensuring timely execution of strategic initiatives and support for shifting priorities.
Executive Support
Provide administrative and strategic support to the VP of PACE Strategy and Development and other team members as needed. Manage calendars, schedule meetings, prepare agendas, take minutes, and follow up on action items. Coordinate travel, event logistics, and expense reporting. Protect the mission, confidentiality, and organizational integrity of Bluestem Communities in all interactions.
Additional Responsibilities
Act as an internal liaison between the VP and project teams to streamline information flow. Maintain knowledge of PACE regulatory timelines and ensure critical reporting deadlines are met. Oversee version control and archiving of key planning documents, applications, and reports. Collaborate with marketing, finance, and clinical operations to ensure project alignment with organizational priorities.
Qualifications And Experience
Must be at least eighteen [18]-years of age Must be proficient in Microsoft Office Suite and project management tools. Must be a strategic thinker with the ability to manage competing priorities and translate vision into actionable plans. Prefer Bachelor's degree; associate degree and/or relevant experience accepted. Prefer proven experience managing high-stakes meetings and multiple concurrent projects. Prefer a minimum of 3 years’ experience in project management and/or executive-level administrative support. Prefer knowledge of healthcare, nonprofit operations, or aging services.
Physical Requirements
