Executive Assistant to the Chief Development Officer
Position Title: Executive Assistant
Location: Boys & Girls Clubs of Greater Tampa Bay, Steinbrenner Metro Services
Employment: Full-Time/Entry Level

Summary
The Boys & Girls Clubs of Greater Tampa Bay is seeking a highly skilled and creative Executive Assistant to support the Chief Development Officer (CDO). This role requires expertise in donor engagement and complex project management. It plays a key part in advancing the organization's mission by leading successful fundraising efforts. Strong communication, organizational, and project management skills are essential to streamline development efforts, align with organizational goals, and support critical initiatives.
Key Responsibilities
Administrative Support:
- Manage the CDO’s calendar, email inbox, scheduling meetings, appointments, and travel arrangements.
- Prepare, proofread, and edit donor correspondence, reports, and presentations on behalf of the CDO.
- Serve as the primary point of contact between the CDO and internal/external stakeholders as well as Board Members.
- Coordinate meetings, including preparing agendas, taking meeting minutes, and tracking action items.
- Act as a key point of contact for internal and external stakeholders and Board Members, maintaining professionalism and discretion.
- Manage travel logistics and event schedules for both departments.
- Collaborate with cross-functional teams to gather updates, identify risks, and resolve issues.
- Support donor stewardship by preparing donor materials, tracking contributions, and maintaining up-to-date donor records.
- Assist with the creation and submission of grant applications and reports.
- Coordinate acknowledgment letters, sponsorship packages, and other donor communications.
- Monitor fundraising campaign progress and prepare detailed reports for leadership.
- Assist with the design and production of event materials, including invitations, programs, and signage.
- Assist in planning and executing fundraising events, including securing vendors, managing guest lists, and coordinating logistics.
- Attend events to provide on-site support and ensure smooth execution.
- Assist with monitoring event budgets and ensure cost-effective planning.
Education:
Bachelor’s degree in Nonprofit Management, Business Administration, Philanthropy or related field preferred.
Experience
- Minimum of 3–5 years in an executive assistant or administrative support role.
- Prior experience with nonprofit fundraising or event planning is preferred.
- Excellent written and verbal communication skills.
- Exceptional organizational and multitasking abilities.
- Ability to work under tight deadlines and manage multiple projects simultaneously.
- Knowledge of nonprofit operations and donor engagement best practices.
- Familiarity with CRM platforms (e.g., Salesforce) for donor management.
Travel will be required throughout surrounding counties for trainings, meetings, events, and/or other business purposes.

The noise level in the work environment varies. Flexibility to working schedules may be required due to changing needs. Hybrid schedule available. Some meetings will be in spread across the Tampa Bay Region.
