Range: $28.00-$38.00 dependent upon qualifications
Basic Role: To provide administrative support to the District Administration and Board of Education to efficiently and accurately operate the business of the district and its accounting records in a transparent manner.
Specifications/Qualifications:
Associates degree in business, finance, or accounting with an emphasis in accounting.
Strong problem solving skills
Strong interpersonal, and communication skills
Strong organizational and time management skills
Attentive to detail and maintaining a high level of accuracy
Essential Functions:
Attendance at work, all school board meetings and board committee meetings
Ability to take and follow instructions
Proficiency with Microsoft Office and Google Suite
Ability to work in a collaborative environment
Ability to work independently and as a member of a team
Maintain confidentiality in the school operation
Adhere to applicable state and federal laws, rules and regulations, board policies, etc.
Performance Responsibilities:
School Board Secretary & Administrative Support
Attends and records the proceedings of regularly scheduled school board meetings, special sessions, work sessions, committee meetings, district team meetings, and SIAC (school improvement advisory council meetings).
Assists the Superintendent and board leadership in compiling, processing, and distributing notices, agendas, packets, and supplementary materials for Board of Education meetings
Accurately maintains records, publication of records, and files regarding board meetings and related proceedings
Facilitates and monitors Board policy development, review, and updates
Assists the Superintendent and Business Manager with the filing of Federal and State reports
During Board of Education election years, assists with public notices and be available to accept candidates' nomination paperwork for the upcoming election
Abides by confidentiality agreements as the Board of Education’s recording secretary
Prepares the Board Room for school board meetings, special sessions, work sessions
Assists the District Office Administration in the operation of the district office
Enters requisitions for purchasing
Oversees requests to use/scheduling of District Office Conference Room
Ensures the proper operation of office equipment by scheduling routine preventative maintenance and calling for repairs when necessary
Maintains supply inventory by periodically checking inventory levels, anticipating supply needs, and placing and receiving orders as necessary
Help with data collection and analysis
Perform other duties and responsibilities as assigned
Assistant School Business Official
Enter receipts into accounting software and reconcile to source documents
Balance or assist with balancing monthly ledger accounts
Process grant, nutrition, non-public transportation, rebate and fuel tax claims
Monitor incoming invoices
Assist with monthly financial reports and fiscal year end reporting
Assist with line item budget input and reports
Maintain and organize digital records
Collaborate with other District staff to develop, implement, and/or update standard operating procedures
Organizes and completes short-term and long-term projects as assigned
Participates in meetings, in-service training, and workshops for the purpose of conveying and/or gathering information required to perform job functions
Maintains security by following established internal control procedures
Physical Requirements:
This is a largely sedentary role; however, some filing and heavy lifting (25-50lbs) is required. This would require the ability to lift boxes and files, open filing cabinets, and bend or stand as necessary.
Working Conditions:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. This role works outside of normal work hours due to expected attendance at board meetings.
