GENERAL SUMMARY OF DUTIES: Responsible for performing administrative functions including answering calls, scheduling appointments, billing and insurance tasks, treatment plan discussions, answering patient questions in regard to finances or scheduling etc.
SUPERVISION RECEIVED: Reports to Dental Care Manager.
Duties
ESSENTIAL FUNCTIONS:
- Communicates effectively and clearly; works effectively with co-workers as a team member and performs duties as assigned by Dental Care Manager and Dental Director.
- Verifies necessary information and records in the medical record and dental record.
- Enters new patient paperwork into medical and dental records.
- Answers dental telephone calls and provides information as needed. Deals with patients’ needs expeditiously.
- Maintains a full dental schedule by identifying vacancies and cancellations and working to fill vacant spots throughout the day.
- Accurately schedules/reschedules patients’ appointments as needed.
- Confirms appointments and reschedules/rearranges appointments as needed.
- Continually monitors and rearranges schedule as needed.
- Schedules new patients after verification that paperwork has been received and any necessary records have been received in coordination with Dental Services Coordinator and Health Navigators.
- Records and tracks no-shows and late cancellations.
- Monitors continuing care lists and encourages patients to schedule recall.
- Monitors and maintains unscheduled and ASAP lists.
- Initiates requests for dental and medical records as needed, tracks record requests and communicates with Dental Billing, Scheduling, and Services Coordinators when all records have been received.
- Completes and manages pre-authorizations for dental treatment.
- Manages incoming and outgoing referrals, radiographs and records.
- Records and tracks transfers and dismissals.
- Enters payments for self-pay and insured patients and completes deposit requisition as needed to support Dental Billing Coordinator.
- Monitors and maintains inventory of dental office supplies.
- Complies with federal HIPAA regulations and practice policies for the privacy and security of patient information; explains the law and our privacy policy to patients as needed; maintains appropriate documentation of access to medical records.
- Attends meetings as required.
- Performs other duties as assigned.
Requirements
EXPERIENCE: Minimum of one year experience in customer service setting, preferably six months experience in dental office setting and experience with office equipment. Knowledge of dental terminology, procedures and diagnosis. Knowledge of computer and relevant software applications as well as working knowledge of dental insurance. Experience with Dentrix Enterprise preferred.
LICENSES and CERTIFICATIONS: None required.

- Evaluate the effectiveness of existing methods and procedures; develop and analyze possible revisions.
- Set priorities among multiple requests.
- Interact with patients, clinical and administrative staff, and public effectively.
- Communicate clearly and effectively in person, in writing, or by phone.
- Comply with established policies and procedures.
- Plan and perform diversified duties requiring knowledge of patient relations and health information management fields.
- Computer literate with proficiency in Microsoft Office applications.
- Basic financial skills, as well as analytical skills for trend and situational analysis desired.
- Interact effectively with people of varied educational, socioeconomic and ethnic backgrounds, skill levels and value systems; work with frequent interruptions; be a team player.
