SUMMARY OF POSITION:
The Document Control Coordinator stores, manages, and maintains company documents, while ensuring the accuracy and quality of the documents. This job includes tasks such as processing documents for revision and approval, organizing documents from conception to distribution and filing, and creating systems which can then be used to train staff on document control processes. Applicants for this role should be computer proficient, be able to manage their time and prioritize tasks effectively, and be able to demonstrate a high level of accuracy.
Key Performance Indictors:
Assist in the development of process documentation, supervising data processing and programming, as well as delivering training to process owners on the correct document structure.
Oversee the receipt of certain files, such as ftp files or emails, and assess the accuracy of the documents.
Coordinate with clients to track and issue documents, checking documents for compliance with regulations and work with clients to revise documentation where needed.
Scan documents or images, then organize them to maintain them, adhering to the company’s document lifecycle procedures. Any inactive documents and records are then archived.
Oversee and execution of all division-wide documents.
Communicate and collaborate with other managers, suppliers, and contractors
Enforces DCX-CHOL Enterprises policies and safety practices.
Participates in training, safety, and quality programs.
Ability to handle multiple projects and to meet deadlines is required.
Perform other related administrative duties as assigned
Qualification/ Experience:
Associate’s degree in a technical field, previous experience working in Document Control a plus.
Excellent written and verbal communication skills.
Good project management skills.
A keen eye for detail.
Self-motivated attitude with the ability to multitask and thrive in a timeline-driven environment
Ability to work individually or as part of a team
Ability to solve problems with little or no direct supervision.
Able to work quickly and accurately in complex, fast-moving environment.
Literacy in computer operating systems and application such as Microsoft Window, Excel, etc.
Excellent written and verbal communication skills.
Competent in the daily tasks to meet their job duties acquired from job training.
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Physical demands include the following but are not limited to: good mobility, ability to move between the 2 facilities and within the facilities, lift bundles of files up to 20 pounds and carry to different departments, open filing cabinets, bending and or standing as necessary.
