About the Position:
As the Executive Assistant to DOYLE's Executive Committee, your responsibilities will encompass a wide range of administrative tasks, and confidential projects critical to the success of our organization.
Responsibilities:
- Provide comprehensive administrative support to the Executive Committee, including managing calendars, scheduling meetings, coordinating travel arrangements, and preparing expense reports.
- Serve as a primary point of contact for internal and external communications, screening and prioritizing correspondence, emails, and phone calls.
- Prepare agendas, presentations, and materials for executive meetings, ensuring timely distribution and follow-up on action items.
- Coordinate and oversee special projects and initiatives on behalf of the executive team, exercising strong organizational skills and attention to detail.
- Maintain strict confidentiality and discretion in handling sensitive information, such as strategic plans, financial data, and personnel matters.
- Cultivate and maintain relationships with key stakeholders, including board members, clients, partners, and vendors, representing the executive team with professionalism and diplomacy.
- Liaise with Doyle's Event Manager in the planning and execution of corporate events, receptions, and VIP engagements, ensuring seamless logistics and exceptional guest experiences.
- Identify opportunities to streamline processes, enhance efficiency, and optimize workflow within the executive office, implementing solutions to improve productivity and effectiveness.
- Assists consignment services with client care, projects and daily tasks
- Bachelor's degree in business administration, arts management, or related field preferred.
- Proven experience as an executive assistant or similar role, preferably in a fast-paced corporate environment or within the art industry.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
- Strong written and verbal communication skills, with a keen eye for detail and accuracy in all communications.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Discretion and professionalism in handling confidential information and sensitive matters.
- Collaborative team player with a proactive and solutions-oriented mindset.
