Student Services Secretary
Summary:
Provides office support and assists in coordinating a broad range of functions within the Special Education and Counseling Departments. The Student Services Secretary facilitates a continual flow of contact with students, teachers, administrators, and the public while maintaining a welcoming atmosphere. At the guidance of the Director and Counselors, performs additional duties as required.
Qualifications and Requirements
- High School Diploma or equivalent
- A service-oriented attitude under stressful situations
- Ability to communicate effectively and professionally and exercise tact and discretion in relationships with district personnel, parents, and the general public.
- Strong oral and written communication skills.
- Experience with the Easy IEP/EdPlan and the Synergy Student Information System (SIS) preferred
- Ability to problem solve, prioritize work, meet deadlines, and demonstrate organizational skills
- Ability to develop and maintain record keeping systems and procedures
Essential Functions and Representative Duties
- Answers phone calls/emails for the Special Education and Counseling Departments
- Assists students, parents, staff, and office visitors
- General record keeping and filing
- Updates/maintains Director’s calendar
- Scheduling appointments for counselors
- Maintains special education database/filing system
- Maintains bulletin boards with information for scholarships, college, and current events as directed by Counselors
- Processes purchase orders for special education and counseling office
- Coordinates and schedules IEP and 504 meetings with District staff and parents to ensure IEP deadlines are met
- Schedules substitute teachers for IEPT/504 coverage
- Maintains IEP correspondence/information in database
- Organizing, typing, proofreading, and processing various awards, certificates, letters, correspondence, and reports
- Prepare dual enrollment packets for Counselors
- Assist with registration of new students
- Requests special education records for new students/process records requests
- Process all transcript requests through Parchment and/or mail
- Schedule appointments for colleges to visit GHS
- Submits special education data for pupil accounting biannually
- Data entry for CTEIS reports
- Assist with EDP process, scheduling teachers for the Career lab, enter new student data, proofreading, etc.
- Maintains/updates special education data in the SIS for pupil accounting
- Maintain Counseling Office webpage
- Performs other duties as assigned.
Work Environment
Work is performed throughout the facilities of the district. There is limited exposure to physical risk.
Terms of Employment
REPORTS TO:
Director of Special Education, Counselors
CONTRACT TERMS:
Contracted through Genesee Education Consulting Services (GECS), 45-weeks a year, 8-hours a day, Monday through Friday, paid holidays, sick and personal days provided
COMPENSATION:
According to current pay scale
