Job Summary:
The Administrative Assistant is responsible for assisting individuals and staff in the daily operations of substance use treatment programs. Responsibilities include point of entry, scheduling appointments, maintaining clinical/medical staff schedules, desktop audits and verifications of payers/CMO expirations, message board maintenance, and collaboration with management on write-off reports to increase efficiency and revenue while decreasing errors and lost revenue.
Job Duties and Responsibilities:
- Promptly answers, screens, and processes telephone inquiries with strict confidentiality, policies, and procedures.
- Reschedules and cancels appointments as needed.
- Returns all call center or email messages in a timely manner, per policy and procedure.
- Provides information on Highland Rivers programs and connects callers with FindHelp.com for additional resources.
- Collects and enters patient information accurately into the Care Logic system, including demographic data, insurance verification, consents, HIPAA confidentiality, individual rights, fee scales, and referral sources.
- Refers individuals to the clinical team for triage and crisis intervention when applicable.
- Maintains current data on schedules, insurance coverage, proof of income, referral sources, releases of information, and other pertinent information for credentialing and licensing purposes.
- Provides excellent customer service to internal and external stakeholders, along with other duties as outlined in policy and procedure.
- Performs other duties as assigned.
