Executive Assistant
A progressive Washington, DC research firm is seeking an Executive Assistant (EA) to support its Executive Office in managing daily affairs. The EA prepares the executive partner for each day by preparing briefing sheets, scheduling incoming meeting requests and gatekeeping the time to manage internal and external priorities. The EA works in a team to memorialize and enforce policies, design efficient workflows, coordinate company events, and communicate to the broader HIT team on behalf of Executive Office. This is a remote or hybrid role (on site at our Washington, D.C. location up to 2 days per week). This role may be part-time or full-time.
Due to the fast-paced nature of HIT Strategies, this position is ideally suited for a team-playing, fast-thinking individual who is meticulous and takes initiative. To best manage the Executive Office, this position requires professionalism, assertion, confidentiality, discretion, poise and a strategic mindset. An ideal candidate has the relationship, project planning, and executive skills to help our growing research company succeed and change the face of public opinion.
We work closely with high-profile political organizations, advocacy groups, and political candidates, so an interest and experience in electoral politics, social activism, and advocacy work is required.
Responsibilities

Manage the executive partners' calendar including triaging meeting requests and scheduling meetings using Slack and Outlook
Represent the executive office in team meetings for project and calendar management
Prepare for and execute internal and external meetings by gathering supporting documentation, organizing agendas and following up with team members for additional information
Produce and review executive office and interdepartmental documents including reports, memos, invoices, letters, etc.
Manage travel accommodations for the executive office
Manage our Washington, D.C. office by sorting mail, scanning paperwork, maintaining the physical space, and providing team support for occasional on-site meetings
Invoice clients, maintain receipts and submit monthly expense reports
Collaborate with leadership in identifying, streamlining and standardizing workflow processes and procedures
Work cross-functionally with research, sales and communications team members on special projects
Conduct expense reporting for executive office and maintain a budget for executive office events
Qualifications
2 years of experience working in politics, political campaigns, research, media and/or social advocacy
2 years of experience supporting an executive, principal and/or political candidates
Experience with writing and proofreading reports, emails and memos
Experience creating presentations on behalf of principals
Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams)
Experience taking initiative to solve problems and implement workflows impacting company-wide efficiencies
Experience automating processes using programs including Asana, Slack and Outlook
Ability to travel to our Washington, D.C. office (40%)
General awareness of current political and cultural events
Salary and Benefits
Annualized Salary Range: $60,000-$70,000 (FTE)
