Position Summary
The Administrative Assistant provides administrative and clerical support at Luna Community College (LCC). This role regularly interacts with Senior Executives, partners, students, and customers. Responsibilities include executing a broad range of analytical, administrative, executive support, and research functions with little oversight or supervision. Adeptly manages multiple time-sensitive deadlines while naturally retaining a positive attitude and independently completes complex tasks and projects efficiently with a high level of attention to detail.
Duties & Responsibilities
ESSENTIAL JOB FUNCTIONS
- Maintains office budget and travel.
- Prepares and submits invoices for payment.
- Performs a wide variety of complex and confidential administrative/office support for the Executive.
- Keeps the Executive advised on weekly schedule, incoming calls, and facilitates decision for the workflow through the department.
- Prepares reports, letters, and proposals; collects data; assists with presentations, and drafts correspondence as delegated.
- Maintains confidentiality as part of being a member of an administrative office.
- Collects documents requiring the Executive and checks for accuracy as needed.
- Takes notes as required and assists the Executive Administrative Assistant to the President as needed.
- Performs other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of principles and practices of office administration.
- Proficient in keyboarding/typing speed and accuracy.
- Proficient in various computer software applications including Microsoft Suite.
- Proficient in English composition, grammar, and punctuation.
- Ability to compose letters and prepare a variety of reports.
- Ability to prepare statistical reports.
- Ability to maintain confidentiality.
- Ability to multi-task.
- Ability to transcribe and take notes.
- Strong bookkeeping practices and procedures.
- Ability to work with a diverse group of students, faculty, staff, and the public.
WORK ENVIRONMENT AND PHYSICAL FACTORS
- Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. The worker sits most of the time.
- The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading and visual inspection.
- The worker is not substantially exposed to adverse environmental conditions.
REQUIRED EDUCATION AND EXPERIENCE
- High School diploma or GED.
- 3-5 years of administrative or executive support experience in a corporate or professional setting.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite.
- Ability to independently prioritize and execute multiple complex tasks and projects in a fast-paced, deadline-oriented environment.
