NewAmsterdam Pharma is looking for an experienced Executive Assistant to support the day-to-day operations for a small, fast-moving, entrepreneurial, biotech. This position will support C-suite executives and collaborate with staff across the company as well as external parties. We are looking for a detail-oriented and efficient individual with outstanding communication and multi-tasking skills. Exercising good judgment, demonstrating outstanding organizational skills, and managing multiple business priorities daily are essential skills for this role.
Job Responsibilities:
- Provide administrative support to executive leaders, including scheduling meetings, managing complex calendars, expenses, and corresponding travel arrangements
- Manage and track expenses, invoices, and budget for the executive team
- Maintain confidential and sensitive information with the utmost discretion and professionalism
- Plan and prepare communications with skill, tact, and discernment to accomplish the objectives of the communication for the executive
- Conduct research and gather information as needed for executive decision making
- Prioritize and manage multiple tasks and deadlines in a fast-paced environment
- Proactively identify and resolve any administrative issues or challenges to ensure smooth operations
- Collaborate with other administrative assistants and team members to support company-wide initiatives
- Uphold and promote NAP policies and values in all interactions and tasks
- Continuously seek ways to improve and streamline administrative processes and procedures
- Serve as a positive and professional representative of the company to external stakeholders
- Attend meetings and take minutes as needed
- Assist with preparing and editing various documents, presentations, and reports
- Collaborate closely with other administrators, business leaders and global colleagues
- Coordinate and execute output and actions from the leadership team meetings
- Ensure company procedures are followed and directs questions accordingly
- Function autonomously, exercises discretion and judgment, and works independently on a variety of complex and diversified assignments and special projects
- May lead cross functional projects for the company
- Participate in planning business-related meetings
- Perform duties that are both task and project oriented requiring interpretation and judgment
- Perform other clerical / administrative and support duties as needed
- Some travel is required based on business need
- Must be able work hybrid work schedule (2-3 days per week in either NJ or PA offices)
Qualifications:
- Bachelor's degree required
- 5+ years of related experience required in working in an executive assistant role supporting C-Level executives
- Ability to communicate effectively and professionally
- Flexible hours as dictated by the needs of business for projects and meetings
- Ability to exercise independent discretion and judgment
- Ability to handle sensitive and confidential information
- Ability to interact with all levels inside and outside of the organization
- Ability to manage multiple priorities
- Ability to understand implications of work and make recommendations for solutions
- Ability to work independently
- Demonstrates strong leadership abilities
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Must be able work hybrid work schedule (2-3 days per week in either NJ or PA offices)
