Job Title: Office Administrator
Job Summary: We are seeking a highly organized and efficient Office Administrator to join our clients mid-sized law firm. As an Office Administrator, you will be responsible for overseeing the day-to-day operations of our office, ensuring smooth functioning, and providing administrative support to our legal team. The ideal candidate will possess excellent communication skills, exceptional attention to detail, and the ability to handle multiple tasks in a fast-paced environment.
Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the legal team, including managing calendars, scheduling appointments, and coordinating meetings.
- Office Management: Oversee the overall office operations, including managing office supplies, equipment, and facilities maintenance.
- Document Management: Maintain and organize legal documents, records, and files both in physical and electronic formats. Ensure confidentiality and accuracy of all documents.
- Correspondence: Draft and proofread correspondence, memos, and other legal documents. Prepare and distribute internal and external communications as required.
- Reception: Serve as the first point of contact for clients, visitors, and vendors. Answer phone calls, greet visitors, and handle inquiries in a professional and courteous manner.
- Financial Administration: Assist with financial tasks such as processing invoices, managing expense reports, and maintaining financial records.
- Travel and Logistics: Coordinate travel arrangements for staff, including booking flights, accommodations, and transportation when necessary.
- Human Resources: Assist with various HR tasks, including maintaining employee records, processing payroll, and coordinating recruitment activities.
- Event Coordination: Assist in planning and organizing firm events, such as meetings, conferences, and seminars.
- Compliance: Ensure compliance with relevant laws, regulations, and company policies. Assist in the implementation of new policies and procedures as needed.
- Education: A high school diploma or equivalent is required. Additional certification or training in office administration is preferred.
- Experience: Minimum of 3 years of experience in an administrative role, preferably in a law firm or professional services environment.
- Legal Knowledge: Familiarity with legal terminology, processes, and documentation is preferred.
- Organizational Skills: Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
- Communication Skills: Excellent verbal and written communication skills. Ability to communicate effectively with colleagues, clients, and external stakeholders.
- Attention to Detail: Meticulous attention to detail and accuracy in all aspects of work, including document management and proofreading.
- Technology Proficiency: Proficient in using office software applications (e.g., Microsoft Office Suite) and familiarity with document management systems.
- Professionalism: Demonstrates a high level of professionalism, integrity, and discretion when handling sensitive information.
- Team Player: Ability to work collaboratively in a team environment and establish positive relationships with colleagues.
