POSITION DESCRIPTION This is a high-impact, in-person role based at our Naples, FL headquarters, providing comprehensive and confidential support to the President across both professional and personal responsibilities. As the primary liaison between the company and key clients—you'll play a vital role in ensuring strong partnerships and smooth operations.
We're seeking an exceptional candidate who can manage a complex, fast-paced schedule, handle sensitive information with absolute discretion, and anticipate needs with sharp foresight. Success in this role requires calm under pressure, proactive problem-solving, and outstanding relationship management. Standard hours are 7:00 AM to 4:00 PM ET, and English fluency is required.
KEYRESPONSIBILITIES
- Calendar, Logistics & Information Management: Proactively manage the President’s highly dynamic professional and personal calendar, aligning meetings, sales opportunities, and internal priorities into a cohesive schedule. Coordinate across time zones and teams to ensure availability for key client touchpoints, internal strategy sessions, and personal commitments. Simultaneously oversee digital organization systems—email accounts, calendars, client notes, and documentation—ensuring all information is current, accessible, and confidential. Tools include Office 365, OneNote, and Notion.
- Executive Travel & Concierge-Level Support: Plan and execute complex international and domestic travel with a concierge-level approach. Handle all logistics—flights, accommodations, ground transportation, itinerary creation—down to the smallest detail. Be responsive and available during travel, including evenings and weekends as needed, to ensure seamless experiences and minimize the President's distractions.
- Communication Oversight & Correspondence: Serve as a strategic gatekeeper for all inbound and outbound communications—email, phone, LinkedIn, and messaging platforms. Triage and prioritize messages, draft timely responses, and maintain clarity on urgent versus non-urgent matters. Learn the President’s communication style and voice, often responding directly on their behalf to internal teams and key external partners.
- Client & Stakeholder Relationship Management: Act as the primary point of contact for high-value clients, partners, and influencers. Maintain a high-touch, relationship-centered approach that reflects executive-level professionalism. Track client interactions, prepare agendas and follow-ups, manage CRM records, and implement thoughtful gestures like strategic gifting (“Giftology”) or milestone recognition.
- Confidential & Personal Life Support: Handle a range of private matters with absolute discretion, including financial tracking, confidential HR communications, and sensitive appointments. Anticipate needs across both personal and professional spheres to free the President to focus on leadership and growth priorities.
SKILLS AND TRAITS REQUIRED
- Extensive Executive Support Experience: Minimum of 10 years supporting senior executives, ideally including the President. You understand strategic business operations and how to protect executive focus by managing time, information, and access.
- Sales Alignment & Proactive Client Support: Understand the full sales process and actively support business development by managing pipelines, preparing the President for meetings, and ensuring no opportunity falls through the cracks. This includes following up with clients ahead of scheduled meetings to confirm attendance, reinforce engagement, and maintain strong momentum throughout the sales cycle.
- Tech-Savvy with Strong Judgment: You quickly absorb complex information—whether from business plans, reports, or client communications—and respond with sound, thoughtful judgment. Highly fluent in digital tools, adopt new platforms with ease and leverage AI to streamline workflows, document SOPs, manage projects, and produce polished, professional outputs. Familiarity with CRM and project management systems is a strong asset.
- Discreet, Professional, and Service-Oriented: You bring exceptional discretion, integrity, and reliability to every task—confidently handling sensitive communications, financials, HR matters, and private schedules. As a polished communicator, you adapt tone and style to reflect the President’s voice with clarity, warmth, and professionalism.
