Summary: Assists the General Manager and the Executive Assistant in carrying out the administration of the policies and procedures of the Solera at Oak Valley Greens Homeowners Association. Under supervision of the General Manager and Executive Assistant, provides assistance to the Association in the area of general reception and office duties. Assists the administrative staff in providing customer service to the residents and homeowners. Requires direct contact with staff, Board Members, Committee Members, homeowners, vendors and the general public.

Essential Duties and Responsibilities:
- General Reception/Customer Service.
- Answers and directs incoming telephone calls and assists caller with information.
- Greets residents/visitors and provides information and direction.
- Receives and distributes customer service calls and emails, via work order system.
- Copies and distributes committee minutes, memorandums, reports, etc.
- Maintains on-site checking account and check register; writes emergency checks, records. Reconciles checking account and sends all back-up information and deposit records to Keystone Pacific Corporate monthly for verification.
- Processes accounts payable check requests and invoices for payments on a daily basis for all Association expenses.
- Oversees maintenance and administration of telephones and office equipment, maintains balance in postage machine.
- Opens and distributes mail daily for the administrative office.
- Practice and adhere to Keystone’s Core Values, Mission and Vision.
- Any additional job duties as required by the supervisor.
Qualification Requirements:
- Excellent customer service skills.
- Proficient in the Microsoft Suite Programs.
- Strong organizational skills.
- Good interpersonal skills including written and verbal communication.
- Knowledge of general office procedures.
- Must be flexible with schedule and working on holidays.

Education And/or Experience:
- 1-2 years working in an Administrative field.
- High School Diploma or GED required.
Work Environment:
- Typical office environment with low level noise exposure.
- Ability to lift up to 25 lbs.
- Ability to sit and stand for long periods of time.
- Ability to reach, grasp, and hold.
