Saatchi & Saatchi maintains a hybrid work policy, working in-office three days a week and remotely two days.
Overview
Seeking a highly organized Executive Assistant to support senior leadership in a fast-paced advertising environment. Responsibilities include managing complex calendars, coordinating travel, preparing presentations, handling confidential information, and serving as a key point of contact internally and externally.
Responsibilities
- Manage and prioritize Senior Leadership’s calendar.
- Schedule meetings, appointments, and travel.
- Handle correspondence and meeting invites.
- Collaborate with other Executive Assistants.
- Organize digital documents and handle expense reports, car logs, and timesheets.
- Manage department budget, purchase orders, and invoices.
- Maintain the corporate apartment, rent, and utilities.
Project Management
- Support the President and Senior Leaders in daily duties and key priorities.
- Assist in planning and executing special projects.
- Track project progress and ensure deadlines are met.
Communication & Coordination
- Act as liaison between Senior Leaders and other stakeholders.
- Coordinate meetings, prepare agendas, and follow up on action items.
- Ensure clear communication across the organization.
Travel and Event Planning
- Arrange domestic and international travel, including flights, accommodations, and ground transportation.
- Coordinate client meetings, offsites, and conferences.
Other duties as assigned.
Qualifications
- 5+ years of administrative experience, with 3+ supporting executives.
- Excellent organization, problem-solving, and time-management skills.
- Outstanding communication and listening skills.
- Team-player attitude, adaptable under pressure.
- Experience with Outlook, Teams, PowerPoint, Google Suite, Altair, Concur, and Adobe.
- Discretion and integrity with confidential information.
- Attention to detail and professionalism.
