Building Event Programs on a Mission to Thrive
Che Fico is hiring an experienced event producer who has significant previous event production or full service catering experience. In this role, the Event Producer is responsible for the sales, end-to-end event management and production of Che Fico’s full-service catering events. We see events of all types! From an eight-person plated birthday dinner in someone’s San Francisco home to a 200 person standing reception at the SFMoma for a private equity firm to 120 person wedding reception in Santa Barbara. Che Fico’s role in these events varies from strictly catering to full event production including design board creation, rental ordering and contracting all of the necessary vendors to make the event a success (including but not limited to florist, transportation, bar, and even entertainment).
The Event Producer is responsible for leading all offsite/full service events across all Back Home Hospitality properties. Responsibilities include but are not limited to:
- Sales and proposal creation including corresponding with potential clients, sharing our pricing and getting on an exploratory phone call to help you build the best proposal for each event.
- Contract negotiation and creation after the client has decided they’d like to move forward.
- Invoicing and collecting payments for deposits, sending initial deposit invoice and final invoice after the event is settled.
- All client and internal communication including all coordinating with the client and updating Che Fico managers as event updates come in.
- Walkthroughs - one directly after the contract is signed to understand floor map planning and rental needs - a second if necessary before the event.
- Event tasting with clients on an event by event basis.
- Design board creation (as needed), selecting tableware, glassware, linens, tables and chairs.
- Keeping all logistics for each event organized by creating a Google Drive folder with all necessary documents: Menu, Planning & Details Spreadsheet, Floor Plan(s), Vendor Contracts, Rental Orders.
- All vendor ordering and communication as needed on event by event basis.
- Rentals (tableware, serviceware and kitchen equipment), Pizza Oven, Florals.
- Coordinating and booking staffing for each event.
- Coordinating service team staffing with our outside service agency.
- Organizing kitchen staff with Chef Lead.
- Be the main point of contact at the event - directing, managing, coordinating, and collaborating with the client, vendors, and Culinary Team ensuring the timely execution of the event timeline.
The ideal candidate will:
- Have at least 3-5 years of management experience in event planning and execution, bonus points for full service catering experience.
- Exhibit communication and interpersonal skills necessary to interact with management, staff, vendors, and clients at all levels.
- Be comfortable in a multi-task environment with frequent interruptions, short deadlines, and a high degree of pressure.
- Extensive knowledge of and passion for food, wine, and hospitality.
- Deliver exceptional client care before, during, and after the event.
- Work a flexible schedule which includes events on nights and weekends frequently.
