Description

Maintain a high level of customer service for the Youth and Family Centers department.Maintain a high level of confidentiality of clients and staff personal matters.Ability to handle multiple assignments with minimum supervision.Maintain a schedule of appointments and arrange appointments for current and incoming clients.Assist all full-time, part-time, and supplemental employees with payroll concerns or questions. Including supplying correction forms, faxing forms to Payroll Manager, etc.Ensure that purchases for centers are ordered, received, and invoices sent toPurchasing Manager for payment in a timely manner. As well as maintain accurate documentation in-house.Implement new procedures, policies, processes, and activities.Participate in short- and long-range planning of the Youth and Family Centers Department.Perform administrative duties including maintaining the filing system, processing routine correspondence, placing and receiving telephone calls and recorded messages, as well as typing documents and correspondence.Respond to inquiries by disseminating information in an accurate, knowledgeable, efficient, and culturally sensitive manner.Provide regular feedback to supervisor regarding the status of projects or issues.Answer incoming calls, take reliable messages, and route to appropriate staff.Consistently performs duties with a customer and community focus.Demonstrates respect, responsiveness and adaptability to customer and community needs.Effectively collaborates with Parkland to ensure customer and community needs are met.Prepare forms, spreadsheet reports, etc. for the department head and other staff members using computer and common office software.All federally funded incumbents of this position must comply with time and effort reporting requirements through personnel activity reports or periodic certification, as appropriate.Qualifications

HIgh School Diploma or GED required.Associates Degree preferred.Advanced typing skills at 40 wpm.Demonstrated ability to manage multiple priorities simultaneously and complete assignments with minimum direction and supervision.Demonstrated organizational, prioritization, communication, customer service, supervision, and interpersonal skills required to achieve the goals of the position.Demonstrated proficiency and experience in word processing, databases, spreadsheets, and graphic applications.Demonstrated ability to interact effectively with all levels of district personnel.Bilingual (English/Spanish) is preferred.
