The Administrative Assistant is responsible for assisting the with a variety of administrative duties, including being the first point of contact with customers, vendors, visitors, and prospective candidates, and providing administrative support to various departments.This role supports the receiving of all lines on good receipts to assigned purchase order and is responsible for the accurate processing and receipt of all materials.Is responsible to conduct research to resolve discrepancies between packing slips and purchase orders, work with inventory control specialist to correct inventory discrepancies, and work with accounts payable specialist to resolve unpaid invoices due to missing goods receipt.

This Position

Take ownership of receiving to ensure accuracy and completion of each line on assigned purchase order by comparing line items and receiving appropriate quantity (each, feet, bundle, etc.)Maintains receiving document files.Correctly and accurately receive items into inventory and correct any discrepancies identified.Ownership of receiving process which includes reviewing material packing slip against purchase order that is assigned and noting any outstanding line items not received, and research discrepancy to close each purchase order to achieve 100% receipt of materials.Work with Accounts Payable Specialist to resolve receiving problems or issues against outstanding invoices.Reconciles month end inventory reports to location receiving records.Other Responsibilities:

Responsible for coverage of the front lobby directing visitors and delivery trucks to appropriate personnel and manage incoming calls.Shipping, receiving and distribution of office packages, mail, etc.Assist with accounts payable processing including resolution of discrepancies between invoice and receiving and provide backup to Accounts Payable Specialist.Perform other office support activities such as faxing, filing, typing, scanning, and ordering office supplies as needed.Other duties as assigned.
