Department Summary

The Department of Laboratory Animal Medicine (DLAM) is committed to providing UNTHSC faculty, staff, students and other partners with high quality, cost-effective research bio-resources. DLAM has a dedicated and experienced staff that contributes to the HSC's exemplary program of animal care and use. DLAM provides veterinary and personnel training and expertise in laboratory animal medicine and technology.

DLAM is dedicated to support the University's research and teaching goals, to promote and assure humane care and use of animals through compliance with the Animal Welfare Act, Office of Laboratory Animal Welfare, Association for Assessment and Accreditation of Laboratory Animal Care (AAALAC) International and University policies for the humane care and use of animals.

DLAM advises and educates researchers, staff, students and other professionals on animal experimentation issues and promotes best practices for the responsible use of animals.

Position Overview

Provide high level administrative support by conducting research, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, preparing presentations, and scheduling meetings. Maintain records required for accreditation. Serve as EIS Coordinator and inventory control manager. Enter and update animal census numbers to expediate invoicing functions. May also train and supervise lower level clerical staff.

Minimum QualificationsBachelor's Degree and three years' of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.Knowledge, Skills and Abilities

Exceptional communication and interpersonal skills.Advanced written communication skills.Advanced Microsoft Office skills.Knowledge of accounting/budgeting procedures.Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.Ability to conceptualize, plan and organize multiple programs and assignments effectively.Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.Skill in developing and maintaining good working relationships.Preferred Qualifications

Prepare, update and distribute monthly charts for recording data; enter and compile data for census and breeding records each month.Review and have input on budget reports, help develop modifications and make recommendations.Coordinate, submit and track access requests for employees, research assistants, and student assistants.Pay and track invoices, manage and submit monthly expense report, organize and edit reports, memos, letters and other documents.Purchase of research animals, equipment and supplies. Responsible for weekly inventory, stocking and ordering of animal, staff, research, printing and office supplies. Coordinate service on office equipment.Answer phone, direct calls or take messages, handle routine and specific requests as appropriate. Greet visitors and act as gatekeeper for senior staff.Open, sort and distribute physical and electronic correspondence, manage publication subscriptions, update and manage departmental professional organization memberships.Participate in meetings and record minutes.Arrange parking and accommodations for vendors, technicians and visitors.Aid research assistants in needs for carcass disposal, gas cylinders, coordination with Lab Animal staff.
