DescriptionThe Project Manager will be responsible for providing essential administrative and project management assistance to the Chief Operations Officer to ensure the company's projects, key initiatives, and activities are completed successfully. The Project Manager will be accountable for partnering with functional leaders and staff across the enterprise in leading the design, development, and management of key initiatives and process improvement activities from various disciplines across the enterprise to promote collaboration and communication.

This position is responsible for ensuring programs are operationally sound, have measurable targets, are aligned to key performance indicators, are strategically focused, and deliver a positive ROI. Responsibilities include providing administrative support and project management leadership, as well as establishing and maintaining outstanding project management tools and practices for operational, strategic, integration or transformation projects.

Key Responsibilities:

Works collaboratively across multiple operations teams and functions to measure and drive performance.

Manages and coordinates multiple projects across a matrixed environment including facilitation of meetings and follows-up with key stakeholders.

Supports assigned programs by creating and maintaining project timelines, developing business requirements documents, identifying key milestones, ensuring tasks are completed, and obtaining additional resources needed to successfully complete the work.

Identifies and manages risks associated with a project and implements strategies to reduce those risks; enforces project standards across the project teams and performs project reviews, including quality assurance and risk reviews.

Tracks project progress and identifies/addresses any roadblocks that arise by recommending a course of action regarding project issues/concerns, implements mitigation plans, and escalates risks.

Builds a cohesive project plan, engaging input of others in defining tasks and estimating the duration of all related activities.

Creates and executes project plans, including timelines, budgets, and resources, revising through formal change control as appropriate.

Plans, directs, and coordinates project activities, manages resources, and sequences activities to ensure that objectives are accomplished within project timeframes.

Collaborates with the executive team and multidisciplinary departments to ensure success of projects.

Maintains project focus by reordering tasks, shifting priorities, engaging resources, or otherwise managing unexpected occurrences.

Employs change control skills and manages to the expectations of end-users and management.

Effectively communicates relevant project information across the organization, by communicating regularly with team members and stakeholders to keep them informed of changes to the project scope/timeline, which can involve preparing reports and giving presentations to senior leadership.

Communicates effectively with physicians, executives, managers, clinical teams, and other staff by analyzing user needs, applying logical reasoning, defining system requirements, and developing documentation.

Develops training strategies and delivers project management training to the organization.

Manages executive calendars and schedules meetings, appointments, and travel arrangements.

Handles incoming and outgoing correspondence via email, phone, and mail.

Coordinates with support executives for team meetings and events.

Maintains confidentiality and handles sensitive information with discretion.

Ensures that all project expenses are properly accounted for.

Works with accounting team on payment in a timely manner.

Performs other duties as assigned or required.

Comfortably creates and manages timeline-driven work plans, as well as creates end-to-end process flow documentation that supports the project or program development. Readily can drive results in a collaborative environment, creating and leading projects in a cross-functional environment. Must have strong interpersonal skills and the ability to build relationships with all levels of staff including stakeholders, board members, and external partners.

Candidate must have the ability to modify approach and communicate clearly with a variety of internal and external stakeholders - from executives to front-line staff as well as with care partners and other vendors/partners. Candidate must be able to work independently, assume responsibility for job development and training, research and resolve questions and problems, requests supervisor input, and keep supervisor informed. The candidate must demonstrate professional maturity surrounding data access, data security, data sensitivity, and data confidentiality.

Candidate must have experience in leveraging data and technology to solve problems or improve processes as well as experience in developing training resources, and leading training programs to address business needs. Must be self-motivated, able to take initiative, and able to thrive and drive results in a collaborative environment. The candidate must also have proficient organizational and time management skills. Additionally, the candidate must have analytical, critical thinking, and problem-solving skills.

Minimum Education:

Bachelor's degree in business, project management, or another related field or equivalent combination of education and experience.

Preferred Education:

Nursing degree or other comparable healthcare experience.

Minimum Experience:

One year of project management using data and information to make business decisions. Three years of experience in executive support and project management. Experience facilitating meetings and aligning resources to ensure projects and programs stay in scope, on schedule, and on a budget. Strong documentation skills. Can document program execution plans and variances to standard approaches. Experience in presenting data analytics, outcomes, and measures in healthcare. MS Office Suite skills required (PowerPoint, Word, Excel, MS Project).

Preferred Experience:

One year clinical and/or managed care experience in the healthcare industry and quality management, within a health plan, MSO, or related field. PowerBI, Risk Adjustment, and SharePoint experience. Understanding of clinical management activities of large managed healthcare organizations. Experience with statistical analyses, data visualization tools, healthcare data, medical or pharmacy claim data analysis. Experience in project management and/or performance improvement methodology (6 Sigma Black or Green Belt, Lean PDSA, Scrum etc.). Intermediate user experience in MS Excel (trends, charts, pivot tables).
