This Business Administrator Level 3 apprenticeship at Gloucestershire Hospitals NHS Foundation Trust is an exciting opportunity to learn new skills and become part of the Apprenticeships and Career department, which plays an important role in developing the skills of existing staff as well as attracting new apprentices into the Trust.The Apprenticeships & Careers Team attract and develop a workforce with the right skills, knowledge, and competence necessary to deliver safe patient care and to enhance the quality-of-service delivery in line with our Trust vision of "Best Care for Everyone".This apprenticeship is suitable for anyone with a desire to learn and develop their business administration and customer service skills with a view to beginning a career in administration and gain a Business Administrator Level 3 apprenticeship.Main Duties of the Job

Enter and maintain apprenticeship records on the ESR (Electronic Staff Record) system.Gather reports (scheduled or as requested) from ESR.Ownership of the Apprenticeships and Careers Team mailbox.Provide support to the Team with planning for events, booking rooms, creating PowerPoint presentations, and general advertisement for events (e.g., Award Ceremony).Prepare the Effective Mentoring and T Level Work Based Supervisor workshop resources.Liaise with the Team to create the resources and collection/distribution of careers trolleys ready for events.Administrative and data management support to the Apprenticeships & Careers Team.Proactively and accurately edit and maintain intranet content, networking with schools, academies, and colleges, and publicising activities.Advise and support with the experience in the workplace policy at Gloucestershire Hospitals NHS Trust.Job Responsibilities

Attend all mandatory components of the Apprenticeship Framework including Corporate induction, GHNHSFT mandatory training, department-based vocational assessments, and progress review meetings.Undertake training as required and agreed with the mentor, supervisor, and external assessor and complete the competencies relevant to the work area/department.Provide effective and efficient administration to arrange and organise meetings, venues, and record meetings by taking minutes as and when required.Liaise with Training Records to ensure classes are created and training dates uploaded onto ESR. Amend bookings, monitor, and close entry once training has taken place.Provide effective, accurate, and efficient data entry, financial, and purchasing administration support to the Apprenticeships and Careers Team by managing the requisition of externally funded education programmes.Administer incoming and outgoing invoices and statements including preparing invoices for authorisation; or requisition through the P2P system generating a transaction log. Investigate breakdowns in the payments and ensure completion of P2P orders from requisition, authorisation to payment.Ensure administrative, data management, and secretarial support (as appropriate) ensuring auditable information is readily available to Health Education England South, CQC, and the National Apprenticeship Service if required.Maintain effective and professional email, written, and telephone communication with Trust staff at all levels including support staff, health professionals (including Modern Matrons, Departmental Leads, and Ward Managers) and external partner organisations and their representatives.Understand the needs of both internal and external enquirers appropriately signposting in a sensitive manner to provision/team members within the departments.Proactively and accurately promote the Apprenticeships and Careers Team workstreams by managing, editing, and maintaining intranet content, networking with schools, academies, and colleges and publicising activities via internal and external communication channels.Coordinate and support the Career Role Model programme.Promote equality at all times and respect privacy and confidentiality, acting appropriately and professionally upon any sensitive information in accordance with Trust policy.Undertake specific tasks to improve Apprenticeships and Careers provision as determined by the Apprenticeships and Careers Team Manager and Departmental Objectives.Participate fully in personal appraisal and development review process, maintain and complete the Apprenticeship portfolio.Undertake any other appropriate duties commensurate with the role, as required at the request of your line manager.Person Specification

GCSE Grade 3/D English and Maths.Intermediate IT skills and the ability to adapt with the IT systems used by Gloucestershire Hospitals NHS Trust.Good communication skills, both verbal and written.Prioritise daily tasks to achieve set timescales.Ensure accuracy of details entered in our electronic systems.Ability to deal with demand-driven workload in a busy, distracting environment.A professional telephone manner.Communicate effectively with a range of people.GCSE Grade C/4 or above in English and Maths or equivalent Functional Skills Level 2 in English and Maths.Ability to manipulate large quantities of data as requested.Disclosure and Barring Service Check
