Department Summary

The UNT Dallas College of Law is a Fully Approved ABA public law school in downtown Dallas with a full-time day division and a part-time evening division. The College of Law’s goals are: (1) widening access to legal education for those who could be superb legal professionals but who cannot realistically access a legal education given factors including location, cost, and the current role of the LSAT in admission to and financing of law school; (2) providing an educational program focused on excellence in developing practice-related competencies, through a curriculum mapped to those competencies and using best instructional practices, including multiple formative and summative assessment throughout, engaged class design, and a spectrum of experiential education; (3) creating opportunity for our students by keeping tuition and debt low and producing graduates with high value and ability in multiple segments of the market for legal services; (4) becoming a national leader in advancing understanding of best legal education practices, of professional formation, and of the relationship between legal education and the evolving practice and business of law; (5) improving access to justice for underserved legal needs; and (6) serving as a valuable partner in civic engagement with the City of Dallas and the North Texas region.

Position Overview

The Office of Admissions and Registrar Senior Administrative Associate is the first point of contact for all UNT Dallas College of Law Admissions and Registrar visitors and guests. The Senior Administrative Associate is responsible for providing administrative support in order to ensure that customer service is provided in an effective and efficient manner. This position will assist with current and prospective student inquiries, recruitment correspondence, and event coordination. This role reports directly to the Business Operations Manager.

This position is responsible for receptionist duties which includes welcoming and directing visitors (e.g. students, faculty, staff, attorneys and judges, donors, university officials, elected officials, and others) by greeting them in person or on the telephone, and for answering or referring inquiries. Responsible for routine administrative support that includes inventory, developing/creating correspondence, account reconciliation, event scheduling, purchasing, data collection, meeting logistics and travel vouchers. Position duties require some independent judgment and decision-making; resolves routine questions where problems have occurred before and their solutions generally are familiar; and refers more complex issues to higher levels.

Minimum Qualifications

High School diploma or GED equivalent three (3) years of general office or clerical experience; or any equivalent combination of education, training, and experience.

Knowledge, Skills and Abilities

Basic MS Office skills.

Ability to problem solve and make decisions.

Ability to effectively communicate.

Knowledge of policies, practices, procedures, and terminology of assigned function.

Skill in composing routine letters and preparing reports.

Skill in recording and compiling material for reports.

Preferred Qualifications

5 years of progressively responsible office administration experience.

Previous University/College Office Administration experience.

Exceptional Customer service skills Considerable knowledge of university policies and procedures related to functional area (or ability to rapidly assimilate).

Strong problem solving skills Ability to communicate effectively with diverse populations verbally and in writing.

Ability to develop and maintain effective working relationships.

Ability to work independently.

Knowledge of safety and security precautions appropriate to work performed.

Job Duties:

Answers, directs, and relays telephone, fax, and email messages, creates and maintains department filing system.

Monitors and maintains adequate levels of office supplies and recruitment materials. Monitors and executes expenditures within budgets.

Prepares travel vouchers for staff.

Provides reference materials to interested visitors and responds to public inquiries.

Assists with recruitment event planning and execution.

Serves as a backup to other Administrative Personnel.

Processes daily office correspondences from prospects.

Follows appropriate safety procedures and security measures related to work performed.

Understands and follows rules regarding principles of confidentiality relating to all office and student matters.

Provides input and administrative support for proposed programs and operational changes.

Assists with creation and maintaining filing systems.

Work Schedule:

8:30 am - 5:30 pm with flexibility for evening and weekend events.
