JOB SUMMARY
The Organizational and Workforce Development (O&WD) Assistant will support the implementation and evaluation of learning initiatives and programs for Cook County Health (CCH). The O&WD Assistant is responsible for administration and operational needs of the Learning Management System (LMS).The position will include database management, maintaining electronic educational records, producing reports, and serving as a technical resource. The ideal candidate must be highly organized, proactive, and passionate about fostering an environment of continuous learning and improvement.
Typical Duties
Learning Management System Administration
* Monitors, configures, and administers the Learning Management System (LMS), including uploading courses, quality assurance, tracking attendance, and generating customized reports.
* Supports the LMS functions, which includes monitoring course content, course approvals, and evaluation processes ensuring processes are completed within given timeframes.
* Manages the e-learning email communications.
* Generates and analyzes LMS usage activity, course evaluation, and additional metrics such as custom program reporting on a monthly and quarterly basis.
* Uploads, tests, publishes, and archives learning paths, learning plans and courses, adds and deletes resources, monitors activity, and maintains system parameters .
* Investigates and resolves any data or system inconsistencies or discrepancies.
* Makes recommendations and serves as a liaison for system updates.
* Provides support to software version updates, configuration, troubleshooting, debugging, and user access testing. Assists users with access difficulties providing solutions.
* Provides training and technical support to users, managers, administrators, and others who interact with the LMS.
* Generates, analyzes, and distributes data reports as needed.
* Performs other duties as assigned.
Program Coordination and Support
* Assists in the planning and coordination of orientations for new employees and contingent workers, training programs, in-person workshops, and virtual modules, as well as intervention and facilitation sessions.
* Manages the logistics of Onboarding, Training, and Organizational Development sessions, including scheduling, room setup and breakdown, material preparation, distribution, and catering. Provides event management when needed.
* Maintains and updates the training calendar on the Intranet as well as the LMS, ensuring all relevant staff are informed of upcoming opportunities and have access to relevant resources.
* Acts as a point of contact for training inquiries and provides information on available learning opportunities.
* Coordinates with trainers, external vendors, and internal departments to ensure smooth delivery of training initiatives.
* Enters data, maintains records, and manages the database.
* Obtains feedback regarding interventions, needs and competency assessments.
* Manages work logs supporting LMS X4, and requests for Organizational Development, Employee Assistance Program, Leadership Development, Performance Management, etc.

Attends and participates in training, group, and committee meetings as required.
MINIMUM QUALIFICATIONS
Bachelor's degree from an accredited college or university
(must provide official transcripts at time of interview)
Three (3) years of experience managing talent management systems, i.e., online learning management system platforms, content management, training software, and/or e-learning
Two (2) years of experience with training program administration, learning management administration and organization, or process improvement
Basic proficiency using Microsoft Office (Word, Excel, PowerPoint) (testing will be required)
Preferred Qualifications
Bachelor's degree in Human Resources, Education, Business Administration, or a related field from an accredited college or university
One (1) year of full-time work experience planning and coordinating event
Data analysis and reporting experience
Experience with course authoring software
Proficient in Adobe Creative Suite, with an emphasis on Adobe Acrobat Professional and the creation of fillable pdfs
Proficient in Microsoft Forms
Relevant certifications in training and development
Knowledge, Skills, Abilities and Other Characteristics
Working knowledge of Microsoft Teams, One Drive, and SharePoint
Knowledge and understanding the value of end-to-end systematic and white glove service
Excellent verbal, written communication, and interpersonal skills necessary to communicate with all levels of staff and a patient population composed of diverse cultures and age groups
Demonstrate analytical and organizational, problem-solving, decision-making, critical thinking, and conflict management/resolution skills
Ability to function autonomously and as a team member.
