Make It Possible.Executive Admins are responsible for providing excellent administrative support to senior US C Suite level executives (internal customers), according to the agreed framework (type of support specified by band/function). Executive admins support their customers by carrying out defined administrative activities (travel & expenses management, calendar organizing, liaising with the team & connected functions) on their behalf. They are responsible for a broad range of activities depending on their customers' needs ranging from administrative tasks, through issue resolution and query handling, to actively contributing or leading to projects within the team/division on their customers' behalf.How you will contributeYou will work independently , and you have a strong verbal and written communication skills. We would like you to have experience at settling priorities and re-prioritizing as appropriate. This means a strong time management, anticipating issues and finding solutions while managing the usual core tasks of supporting senior executives remotely which is not limited to the following:Manage daily schedules for senior executives
Organize and maintain an efficient schedule at all times
Proactively engage in tasks in anticipation of business needs
Manage highly confidential and critical information for your customers
Organize and participate in meetings, take minutes etc.
Manage travel arrangements
Act as first point of contact for the team’s queries
Organize events and conferences
Create and manage presentations, reports and databases using Power Point, Excel and Teams sites
Manage orders, expenses, purchasing process and receipts through SAP
Ensure timely flow of information
Undertake ad-hoc projects and tasks as required
Ensure that your activities are performed at your best on time & in required quality

Liaise with internal and external stakeholders on behalf of the executive

Arranging travels
Coordinating meetings
Compiling meeting materials and documents
Creating presentations, organizing events
Being involved in projects as needed
More about this roleBachelor’s Degree or equivalent experience
Minimum of 15 years of experience supporting Senior Directors, EVP & VP level leaders remotely
Proven track record of communication skills and curiosity
Ability to proactively managing needs of their customers
Flexibility
Strong service and client orientation
Creative thinking and strong problem solving experience
Drive & independence to complete tasks on time
Demonstrates a collaborative approach using network across organization
Self-starter with the ability to prioritize and manage multi agenda topics
Reliable, detail oriented, precise and diligent
Effective organizational skills
Functions well under pressure
