Position Purpose

The assistant director is responsible for working to advance Dartmouth’s fundraising efforts by fostering a culture of donor-focused stewardship and engagement activities among various stakeholders. This role will involve collaboration with various departments and stakeholders to coordinate and respond to communications. Additionally, this position will provide administrative support for key stakeholders in the planning and execution of cross-departmental special projects and activities, including travel and calendar management support.

Bachelors or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities

Bachelor’s degree or the equivalent combination of education and experience

4-5 years of project management experience in a complex college, university, or other organization is desirable

Project management experience with multiple simultaneous projects of varying complexity

Superior organizational, planning, and project management skills

Able to successfully manage a high-volume workload and competing priorities

Familiarity with and comfort with learning new software systems

Able to think strategically and operationally

Strong attention to detail and able to function independently with minimal oversight

Acts proactively; takes initiative

Excellent communicator (both verbally and in writing)

Collaborative team player who will pitch in when and where needed to get the job done; excellent interpersonal skills

High tolerance for ambiguity and changing priorities; flexible

Ability to work with and to gain the respect of College officers, Development colleagues, faculty, and high-level prospect donors

Ability to apply the guiding principles of Development

Commitment to fostering respectful communication and collaboration within a diverse community

Key Accountabilities

Description

Serve as primary point of contact for the Vice President’s office, facilitating relationships with a variety of key stakeholders, including prospects, donors, and institutional partners. Provides comprehensive travel and calendar management support to Vice President and other key staff in daily operations. Manage and track correspondence from alumni, parents, vendors, and campus partners gathering relevant background information as needed. Exercise independent judgment in responding to inquiries, representing the Vice President and others and collaborating with other Advancement team members when appropriate.

Description

Collaborate effectively and professionally with leadership across various divisions and key stakeholders within Advancement to address matters requiring the Vice President’s attention. Communicate key issues and time-sensitive information to the Vice President, while proactively identifying problems and bringing them to the relevant team members’ attention.

Description

Support the planning and execution of donor-focused stewardship and engagement activities in partnership with various teams. Assist in cross-organizational initiatives, communications, operations, and events, collaborating with colleagues in different departments to implement strategies for recognition, appreciation, and impactful communications for prospects. Facilitate consistent and timely stewardship efforts by campus partners.

Description

Manage and streamline projects, processes, and initiatives to support a structured program across teams. Conduct research, organize, analyze, and summarize data for reports and presentations, monitor progress toward goals, and implement strategies to ensure successful outcomes. Serve as a resource to enhance Advancement’s relationships with various stakeholders.

Description

Assist with the maintenance of technological platforms and annual processes to support team management and success. Contribute to research projects and prepare briefing materials relevant to the work of various teams.

Description

Develop and design presentations for meetings and events involving various teams, synthesizing complex information for diverse audiences. Collaborate with Development staff to gather feedback on desired programs and services. Cultivate effective relationships with Development, communications, and campus partners and support the tracking of relevant data for Board of Advisors and meeting preparations.

Description

Manage departmental budgets for multiple teams, working closely with financial operations to process transactions, conduct quarterly reporting, and prepare year-end projections.
