Senior Operations Specialist (Distribution)

Job Description

We are seeking a highly experienced and motivated Senior Operations Specialist to join our business and lead a team of individuals responsible for overseeing various aspects of our distribution network. This role will combine key responsibilities from both 3PL Performance and Returns & Claims Operations, focusing on ensuring efficient and cost-effective distribution processes. The ideal candidate will have a strong understanding of distribution operations, 3PL management, inventory control, and data analysis.

What you'll be doing

Lead a team of 4-6 people responsible for 3PL performance oversight, import container coordination, volume forecasting, billing validation and analysis, warehouse inventory reconciliation, return orders management, and supplier claims management.

Develop and maintain relationships with 3PL providers to ensure on-time delivery, accuracy, and compliance with company standards.

Develop and implement processes and procedures to ensure efficient and accurate operations across all areas of responsibility.

Enhance tools to provide inventory updates, partner with other supply chain teams to implement inventory initiatives, forecast inbound and outbound volume, provide explanations of variation to targets and resulting actions.

Collect, organize, and analyze large amounts of data using various systems and tools, including Microsoft Excel, to identify patterns, trends, and opportunities for improvement.

Collaborate with cross-functional teams to develop and maintain reports, dashboards, and other data visualizations to communicate insights and trends.

Attend business review meetings with stakeholders and provide performance feedback to internal and external customers.

Develop and implement processes to monitor and report on 3PL performance metrics, including KPIs, SLAs, and cost performance.

Analyze data and provide regular reports on 3PL performance, identify areas for improvement, and make recommendations for process improvements.

Ensure data accuracy, completeness, and integrity by conducting regular data audits and quality checks.

Work with cross-functional teams to resolve issues and improve processes related to distribution operations.

Provide leadership communication escalating high priority matters and direction to the team, fostering a culture of collaboration, continuous improvement, and high performance.

What you'll need

Associate of Applied Science (AAS) degree in Logistics, Supply Chain Management, Business Administration, Operations Management, or a related field is preferred.

3-5 years of experience in operations, logistics, and supply chain management, with a proven track record of success.

A minimum of 2 years of experience leading a team is required, with the ability to lead and motivate team members to achieve shared goals.

Strong understanding of warehouse operations, 3PL management, import coordination, inventory control, and data analysis.

Ability to analyze data and provide regular reports on 3PL performance metrics and cost performance.

Experience managing returns and claims is preferred.

Excellent communication, collaboration, and interpersonal skills.

Strong problem-solving and decision-making skills.

Ability to manage multiple priorities and work effectively in a fast-paced, dynamic environment.

Familiarity with logistics management software and systems, including TMS, WMS, and ERP Systems.
