Job Summary

Working in close collaboration with the Senior Leadership Team (SLT) of Harvard University Health Services, the Senior Project Manager provides structure and support for the planning, implementation, and measurement/tracking success for strategic and business operations projects for HUHS. Partnering with executive sponsors, process owners, and managers to implement strategic, business operations, and “must do, can’t fail” initiatives that have been selected by the SLT, the incumbent provides organizational support, leadership, and coordination to the project team. The Senior Project Manager assists with change management, assures ongoing progress in a timely manner, and facilitates decision-making with key stakeholders.Position DescriptionDUTIES AND RESPONSIBILITIES:Direct multiple complex projects simultaneously to meet the current and anticipated strategic and operational needs of HUHS.In collaboration with the SLT, ensures alignment between strategic plan and investment of resources for projects that will impact it.Orchestrate the prioritization of resources across projects and manage links between projects. Ensure the right people are involved and informed on progress.Provide project management expertise during project initiation, planning, execution, and closing, focused on critical success factors (project milestones and deliverables) and the development of contingency plans.Develop and prepare materials for use in problem solving activities, team meetings, executive level updates, and trainings for leaders and staff.Develop project plans, document key business requirements, and facilitate decision making among a wide variety of stakeholder groups. Effectively use qualitative and quantitative data to present alternative options, highlighting tradeoffs. Develop content and provide well-defined frameworks to facilitate discussions in project meetings and document outcomes.Ensure appropriate deliverables are developed, including but not limited to workflows, standardized work, process analysis, measurement plans, test plans, implementation strategies, and change management plans.Engage with steering and executive committees for decision-making, change management, and communications; develop and deliver executive-level updates.Facilitate communications in collaboration with the HUHS communications team to lead meetings, update appropriate web-based applications, and share information with the organization. Develop professional presentations.Effectively engage with SLT and project teams to manage deadlines and move projects forward in a timely manner.Build strong relationships with key stakeholders in the organization and the Harvard community to provide ongoing dialogue and feedback on projects and needs.Work collaboratively with IT to maintain accurate, ongoing reporting as needed for projects. Provide report analysis.Serve as liaison for HUHS with outside consultants and vendors as required by initiatives and project teams.COMPLIANCE:Adhere to the expectations and professional responsibilities of the department.Employ the standards, practices, and procedures of the department.Complete and comply with HUHS training requirements including HIPAA Privacy and Security.Report non-compliance incidents to the supervisor, manager, and/or Compliance Officer.Basic QualificationsBachelor’s degree and 7 years’ cross functional project management or consulting experience in higher education, health services, information technology, emergency management, or administrative operations or equivalent experience.Master’s degree and 5 years’ cross functional project management or consulting experience in higher education, health services, information technology, emergency management, or administrative operations or equivalent experience.Proficiency with presentation and collaboration tools and advanced Excel skills.Demonstrated teamwork skills, service mindset approach, and ability to act as a trusted advisor.Excellent written, verbal, and data presentation skills and ability to influence key decision makers.Organized, flexible, and able to thrive in a fast-paced environment.Ability to maintain confidentiality.Additional Qualifications And SkillsProficiency with presentation and collaboration tools and advanced Excel skills.Demonstrated teamwork skills, service mindset approach, and ability to act as a trusted advisor.Excellent written, verbal, and data presentation skills and ability to influence key decision makers.Organized, flexible, and able to manage multiple challenging projects simultaneously in a fast-paced environment.Ability to maintain confidentiality.Working ConditionsAll Harvard University Health Services (HUHS) staff and staff affiliates are considered Health Care Workers and as a condition of employment must provide documentation of the following:Letter of good health from your personal health care provider.TB skin test (within past 3 months) or, if known skin test positive, documentation of previous chest x-ray, information about any past treatment.Documentation of immunity (positive antibody titers) for Measles, Mumps, Rubella and Varicella.Proof of appropriate past immunization for Measles, Mumps, Rubella and Varicella.Hepatitis B vaccine series – required for staff with possible exposure to blood or blood borne pathogens.A current Flu vaccine (this season) and Covid vaccines to include the Primary series and Bivalent Booster.The required medical documentation/medical clearances can often be obtained by contacting your Pediatrician, PCP, medical provider.
