Pillar Properties has an exciting opportunity available for an Operations Coordinator to join our team!

The Operations Coordinator is responsible for providing administrative support to complete a variety of projects, and ongoing daily administrative tasks related to insurance claims, capital projects and supporting the Operations Manager and Regional Maintenance Directors. Adherence to a customer service philosophy by providing excellent customer service to Team Members, residents and external stakeholders is paramount.

Compensation

The base salary range for this position is between $30- $40 per hour and will vary based on skills, education, and experience. This position is also eligible for a discretionary annual bonus. Please keep in mind that hiring at the maximum of the range would not be typical in order to allow for future salary and career growth. New team members generally start between $30-$35.00/an hour - depending on experience.

$1,500 signing bonus will be paid out after 6 months of employment.

What You’ll Do

Coordinate incident tracking and financials, and handle insurance claims related to ITRs (Incident Tracking Reports).

Manage insurance claim work, including filing property and vehicle claims, coordinating the process, and ensuring reimbursement.

Collaborate with community teams on ITRs in our portfolio, including tracking and overseeing building repairs until completion.

Work with accounting on claims.

Perform a mix of physical plant administration responsibilities and report to management.

Assist in reviewing and troubleshooting resident utility billing, and coordinate with the community team on usage issues.

Manage files, data collection, report creation, proofreading, research, order processing, scheduling, and team collaboration.

Provide a high level of customer service to team members, vendors, and stakeholders.

Support the Operations Manager, VP of Plant Operations, and Regional Maintenance Directors.

Review contracts financially before submission for approval and establish and maintain vendor relationships.

Schedule and coordinate meetings, and log, track, and update action items generated from these meetings.

Update project schedules and action items through Smartsheet to provide accurate and current status updates to management and community teams.

Update and maintain electronic files for the team.

Provide low-level assistance in coordinating building maintenance and projects across multiple operating facilities.

Coordinate the care and upkeep of office buildings, which may include minor physical labor.

Act as a liaison between team members, transferring and disseminating project information as needed.

Prepare and edit materials and reports, analyze data, and identify solutions.

What You Bring

High School Diploma or GED required.

One to two years’ experience in administrative support role; experience in projects.

One to two years’ experience assisting with the development or construction phases of projects.

Demonstrated competence in using productivity applications, such as Microsoft Office tools (Outlook, Word, Excel, and PowerPoint).

Prior insurance or building maintenance and/or repair experience preferred.

Ability to maintain and update project management software and productivity applications, follow up with responsible parties, and report back to supervisor.

Excellent written and verbal communication skills. Ability to understand and carry out specific written and oral direction in English. Positive, innovative approach to problem solving.

Uses discretion and good judgment, is internally motivated, and able to work independently.

Must be Detail Oriented.

Excellent time-management and general organization skills.

Possess high level multitasking abilities and the ability to continually re-prioritize tasks.

Ability to read and understand plans and specifications.
