Position Focus:

As part of the Office of the Dean of the Faculty of Arts and Sciences, the Space and Facilities Manager reports to the Senior Associate Dean, FAS and works closely with the FAS Dean of Science. This position serves as the central support and point of contact for day-to-day activities involving departmental facilities including facilities issues, specifically research facilities and equipment. Serves as a resource to leadership and managers regarding operational, technology and facilities issues and functions as the expert on all spaces within the sciences.

This position manages space and inventory as well as service and maintenance contracts and issues. Acts as a FAS Dean’s Office liaison with ITS, Provost’s Office- Vice Provost for Research, Procurement, Environmental Health and Safety and other university departments. Monitors all renovation and construction projects within the departments. Coordinates emergency response with facilities.

Troubleshoots daily issues with research and core labs regarding equipment maintenance, facility needs, moves, shutdowns, floods, etc. Works with departments to assist their business offices when faculty and staff leave department or move within department. Provides quarterly updates for equipment to be decommissioned, replaced, etc. Point of contact for ordering equipment.

Works closely with department business office staff to assure appropriate controls and oversight of facilities and equipment service and maintenance contracts. Monitors the adequacy of service delivered by outside providers. Escalates issues or concerns related to administrative and operational services to upper management.Conducts daily walk-throughs and monitors conditions of all buildings and space. Inspects and monitors all mechanical system equipment. Investigates system malfunctions and takes action to resolve. Tracks/reports on facilities related problems as reported by the departments. Maintains documentation and specifics of ongoing facilities issues. In conjunction with ITS and Environmental Health and Safety, disposes of or coordinates disposal of all excess lab equipment, electronics, chemicals, furnishings, and miscellaneous items.

May perform other duties as assigned.

Essential Duties:

Evaluates unit, department, or school needs and determines the appropriate maintenance and custodial services required.

Develops and implements departmental policies and procedures pertaining to facility maintenance, use, and safety.

Ensures complaints regarding building maintenance, custodial services, and safety are resolved.

Monitors supply, procurement, inventory control, and shipping and receiving functions to ensure building maintenance supplies are available.

Develops and implements contractual safeguards to ensure fulfillment of work and materials warranties.

Investigates and resolves building system malfunctions; coordinates repairs and maintenance to facility and physical plant.

Assures compliance with safety and building code standards and specifications within University policies and procedures guidelines.

Interacts with internal contacts to arrange for custodial services, discuss fire and safety systems, and coordinate departmental requirements for facility use.

Interacts with outside contacts to engage maintenance services, arrange for repairs, and obtain information and price quotes for programs as needed.

Participates in budget development process to ensure adequate operating funds are available for buildings and physical plant.

Manages a staff of exempt and nonexempt employees.

May perform other duties as assigned.

Required Education and Experience:

Bachelor’s Degree. Four years of related demonstrated experience or an equivalent combination of education and demonstrated experience.

Required Skills/Abilities:

Excellent verbal and written communication skills. Demonstrated critical and strategic thinking, organizational and administrative skills. Excellent attention to detail. Proficiency in Outlook and Excel.

Proven ability to work in a team and independently to manage multiple priorities. Demonstrated positive attitude and commitment to working as a team.

Excellent organizational and interpersonal skills. Ability to work harmoniously with staff, students, faculty, university offices and external organizations.

Ability to exercise good judgment and demonstrated ability to monitor and track numerous facilities and spaces. Proven ability to handle confidential information.

Ability to manage projects, set priorities and advance outcomes.

Preferred Education, Experience and Skills:

Ability to travel between departments and buildings. Demonstrated experience working in a higher education setting. Knowledge of science labs, lab equipment and technology needs within a lab.
