PRIMARY PURPOSE:

Ensures efficient operation of school administrative office and provides clerical services for school’s administrative staff.

QUALIFICATIONS:Education/Certification:

High School Diploma or GED

Special Knowledge/Skills:

Proficient word processing and file maintenance skills

Ability to use personal computer and software to develop spreadsheets, databases, and do word processing

Knowledge of basic accounting principles

Excellent organizational, communication and interpersonal skills

Experience:

One to three years secretarial experience, preferably in public education environment

MAJOR RESPONSIBILITIES AND DUTIES:

Prepares written correspondence, forms, schedules, or reports using personal computer.

Prepares instructional materials, meeting agendas, honor rolls, graduation lists, and campus communication as requested, using personal computer.

Maintains a daily teacher attendance log and records for substitute teachers.

Monitors and processes personnel time accounting records including leave requests and reports.

Compiles information and submit to central office according to established deadlines.

Maintains school calendar of events.

Schedules meetings and appointments and maintains calendar for principal.

Assists students, teachers, and parents as needed.

Receives incoming calls, takes reliable messages, and routes to appropriate staff.

Maintains physical and computerized files including mailing lists, student records, visitor logs, and office communication.

Updates handbooks, policy manuals, and other documents as assigned.

Performs routine bookkeeping tasks including simple arithmetic operations to maintain campus budget records.

Prepares and processes purchase orders.

Receives, stores, and issues supplies and equipment.

Prepares and makes cash deposits for activity account(s). May be responsible for maintenance of activity checkbook(s) and ledger(s).

Assists with coordination of faculty meetings and campus activities.

Assists with campus budget preparation.

Maintains inventory of fixed assets, equipment, and supplies.

Sorts, distributes, or delivers mail and other documents.

Enters student immunization records, in absence of campus R.N. administer authorized medication to students, check temperatures, and notify parents of student illness.

Maintains confidentiality.

Other duties as assigned.

Mental Demands:

Ability to communicate effectively (verbal and written); interprets policy, procedures and data; coordinates district functions; maintains emotional control under stress.

Physical Demands/Environmental Factors:

Occasional prolonged and irregular hours. Frequent standing, stooping, bending, kneeling, pushing and pulling. Occasional lifting up to 50 pounds. Prolonged use of computer and repetitive hand motions.
