2 Month Assignment onsite in MiamiPay up to $31 per hour w2 based on experienceThis position will be responsible for managing all administrative functions for the Miami office for multiple Senior Executives of Production for Latin America and US Hispanic. The individual in this role will support the Multiple Senior Executives while acting as an important liaison between Production and other departments within the company.Responsibilities:

Scheduling (25%):

Effectively maintain the executives’ daily calendars (Outlook) including coordination of internal and external stakeholders, domestic and international meetings, screenings, conference calls, video conferences, and off-site meetings. Be proactive with executives to maximize time management.Travel Arrangements (20%):

Arrange domestic and international travel, including booking flights, researching visa requirements, lodging, and ground transportation. Prepare business information packets prior to executives’ departure.Expense Reports (10%):

Creating and tracking corporate expense reports on a monthly basis in Concur Solutions database system.Telephone Calls (10%):

Answer phones for the executives in a timely manner, taking messages and informing executives.Approvals (5%):

Tracking approval requests for executives.Filing (5%):

Maintaining a filing system and keeping files organized.Translations/PowerPoint Presentations (5%):

Translating documents and preparing presentations as requested.Routines (5%):

Daily runs for coffee/water/tea and lunch within the office.Other responsibilities (15%):

Ordering supplies, providing administrative support to visiting executives, documenting staff attendance, assisting with special events, and liaising with IT support.Knowledge/Skills/Abilities:

Full fluency in spoken and written Spanish and English.Impeccable attention to detail and organizational/project management skills.Strong interpersonal skills and the ability to handle confidential information.Proficient in office management software applications (Microsoft Office) and ability to master new software applications.Experience:

5+ years of experience supporting senior executives, preferably in the entertainment industry.Education:

Bachelor's degree or equivalent experience is required.Note: Any pay ranges displayed are estimations.
