Our client, a VC firm is seeking a proactive and detail-oriented Administrative Assistant to support their meetings and events. This role will involve collaborating with cross-functional teams to plan and execute a range of events and virtual meetings. The ideal candidate will have strong organizational hospitality and skills, a collaborative attitude, and a keen eye for detail. This is a temp ongoing position with potential to go perm down the line.Fully onsite.Ideally working between Menlo Park and San Francisco offices, if possible.Responsibilities:Be the go-to person on-site for events, making sure everything runs smoothly and fixing any issues that come up.Team up with different departments to plan and pull off events like executive briefings, dinners, and virtual meetings.Handle all the logistics for events—book meeting spaces, set up catering, find venues and vendors, manage shipping, and take care of audio/visual stuff.Take charge of the event day, including setting up rooms, overseeing catering, making sure tech is working, managing virtual meetings, and solving any on-the-spot problems.Create and keep track of event plans, making sure everyone knows their tasks, deadlines, and responsibilities.Update and maintain contact info in our CRM system.Communicate clearly with different groups, making sure everyone has the right event details, both in writing and verbally.Help out with admin tasks related to events and keep our data accurate in Google Workspace, Salesforce, and Zoom.Qualifications:Bachelor’s degree or equivalent experience.2-4 years of experience in event planning or administrative roles.Previous experience in hospitality is a plus, but not required.Knowledge of basic food and beverage arrangements, including venue sourcing, contracting, budgeting, and menu planning.Highly organized with excellent attention to detail and operational excellence.Demonstrates low ego, high empathy, and the ability to work effectively with diverse teams.Proactive with the ability to foresee potential issues and address them effectively.Capable of working in a fast-paced, fluid environment.Positive attitude with a willingness to support the broader team as needed.Hands-on experience with Google Workspace, Salesforce, and Zoom.Strong communication skills with the ability to synthesize and convey information effectively.Compensation:

$50/hr - $55/hr
