The Administrative Assistant within Roche Diagnostics will effectively manage executive calendars, travel schedules, and communications related to meetings, conference calls, invitations, event planning, board meetings, etc. In addition, the assistant will provide support to the Executive team. This is an instrumental position to the team.You will plan, coordinate and run corporate meetings and events such as Senior Leadership Team meetings and off-sites, and All Employee Meetings.You will prepare correspondence, reports, presentations and other written communication; assist in preparation of materials for corporate and executive meetings, including compilation of board books.You will coordinate domestic and international travel associated with complex itineraries and meetings.You will provide administrative support to the Executive’s departments (i.e. Finance, IT, and R&D), including copying, shipping/mailing, ordering office supplies, meeting logistics and support.You will complete timely, accurate and compliant expense reports and corporate credit card reconciliations.You will maintain a smoothly running office environment by liaising with Facilities, IT and outside vendors as needed; provide support to other duties and projects as assigned.This role is based on-site in Carlsbad, CA.Relocation support is not available for this position.Who You Are:(Required)You have a Bachelor's with 1+ yr of administrative experience working with senior level executives.You have demonstrated experience working with Microsoft Office Suite and/or Google Suite; as well as other computer programs that will offer improved productivity for the position (PDF editors, web conferencing, Concur, SharePoint).You have demonstrated experience working independently and in a team environment.Preferred:You are resourceful and have experience working proactively.You have strong interpersonal skills, including: the ability to work well with others in a proactive, positive and constructive manner; a desire to deliver service excellence; and the ability to communicate with all levels within the organization.WORK ENVIRONMENT:The essential functions of the job are usually performed in an environmentally controlled facility where the noise level in the work environment is usually moderate. This position may involve a combination of office and biotechnology laboratory environments. The employee may be exposed to hazardous chemicals, blood borne pathogens and automated equipment. While performing the job duties, the employee is regularly required to sit; reach with hands and arms and talk or hear. The employee is frequently required to stand and walk. The employee may sometimes be required to lift and/or move up to 35 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision and ability to adjust focus.The expected salary range for this position based on the primary location of Carlsbad, CA is $23 - $40/hour. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law.
