We are seeking a dynamic and dedicated Front Desk Coordinator for our thriving medical practice. This role is vital to our organization as it is often the first point of contact for our patients. The successful candidate will be responsible for managing patient flow, coordinating appointments, and ensuring a high level of customer service and satisfaction. The ideal candidate will have a strong background in administrative support, excellent customer service skills, and a passion for the medical industry. This is a permanent, full-time position that requires a minimum of 2 years of experience in a similar role, preferably within the medical or physical therapy industry.

Job Details

Responsibilities:

  • Welcome patients and visitors by greeting them in person or on the telephone; answering or referring inquiries.
  • Maintain patient accounts by obtaining, recording, and updating personal and financial information.
  • Schedule and confirm patient appointments, check-ups, and surgeries.
  • Coordinate with medical staff to ensure smooth patient flow and reduce waiting times.
  • Ensure the front desk is neat, presentable, and equipped with all the necessary supplies such as pens, forms, and paper.
  • Perform clerical duties, such as reading and writing reports, proofreading, transcribing, and faxing.
  • Utilize medical software for scheduling, documentation, and billing.
  • Protect patients' rights by maintaining the confidentiality of personal and financial information.
  • Coordinate with the physical therapy department for patient scheduling and follow-ups.
  • Manage and organize complex calendars, coordinate meetings, and appointments.

Qualifications:

  • Minimum of 2 years of experience in an administrative role, preferably in a medical or physical therapy setting.
  • Proficiency in Microsoft Office Suite, particularly Excel and Teams.
  • Excellent reading, writing, and proofreading skills.
  • Strong organizational skills and the ability to prioritize multiple tasks seamlessly with excellent attention to detail.
  • Exceptional customer service skills and professional phone manners.
  • High level of interpersonal skills to handle sensitive and confidential situations.
  • Ability to maintain a high level of professionalism, ethics, and confidentiality.
  • Knowledge of medical terminology, procedures, and diagnosis.
  • Experience with electronic medical records.
  • Ability to work in a fast-paced, stressful environment.
  • Strong problem-solving skills and the ability to think critically.
  • Proven experience as a coordinator or relevant administrative position.
  • Excellent time management skills and the ability to multitask and prioritize work.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.
  • High school degree; additional qualification in Office Management is a plus.
