Main Objective: The Exhibit Operations Coordinator is responsible for providing support to exhibit functions (both onsite and offsite). Assist with pre-planning, onsite and post exhibit tasks and serve as a liaison to internal and external clients, including employees, customers, agencies, sales associates and hotel visitors. Knowledge of corporate goals and objectives to ensure the successful outcome of exhibits is required.

Essential Duties and Responsibilities:

  1. Maintains inventory of products and associated exhibit models and displays. Tracks usage and forecasts and orders as needed to support corporate and agency schedule.
  2. Develops and maintains lab and exhibit checklists and reference materials.
  3. Ensures all exhibit products and displays are tested for proper function and current rev level, repairs, replacements, and disposition of obsolete products.
  4. Responsible for set-up and clean-up/disinfecting of all campus and offsite products and displays for both workshops and exhibits after attendance. Observes all blood-borne pathogen and related safety procedures.
  5. Responsible for supporting those in the coordination and execution of exhibits consisting of, but not limited to: international and regional exhibits (in country), workshop events including didactic, sawbones or cadaver, etc. for the organization.
  6. Works closely with Global Trade, Marketing, Medical Education, Exhibit House Vendor, and other key partners to execute exhibits and events successfully.
  7. Works with exhibit planners daily to develop and prepare booth drawings to help optimize product and display layout and quantities. Ensure accurate and prompt delivery of display equipment.
  8. Maintain list of approved and preferred vendors.
  9. Supports team members on-site as back-up during holidays, PTO and periods of increased volume of exhibit, event and workshop requests.
  10. Communicates policies, procedures, and processes related to transparenct and disclose effectively and with excellent customer service.

Knowledge:

General knowledge of industry practices, customer service, and standards. General knowledge of Exhibits and Workshop processes and best practices.

Reasoning ability:

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to apply and follow standard operating procedures to meet department objectives. 

Discretion/Latitude:

Required to work as part of a team or individually. Work is reviewed for detail accuracy, consistency, and customer service. Refers to all policies and procedures for detailed instructions.

Education/Experience:

• High school diploma or equivalent required.
• 1 year experience working in a professional environment, prior exhibit/event experiences preferred

Bi-lingual language required (Spanish). Additional languages preferred.
