Job Title: Administrative Assistant
Location: 4930 E Bonanza Rd
Job Type: Full-Time / Part-Time
Reports To: Daycare Director
Job Summary:
The Administrative Assistant supports the daycare's daily operations by managing front desk duties, handling administrative tasks, and providing excellent customer service to parents, staff, and visitors. This role is essential for ensuring smooth and efficient daycare operations. The ideal candidate is organized, detail-oriented, and has strong communication skills.
Key Responsibilities:• Front Desk Operations:
Greet parents, children, and visitors in a warm and professional manner.Answer phone calls, respond to emails, and handle inquiries from prospective and current parents.Manage sign-in and sign-out procedures for children, ensuring accuracy and security.• Administrative Support:
Assist the Daycare Director with scheduling, record-keeping, and filing.Maintain and update children's records, including contact information, emergency contacts, and health forms.Help with billing, invoicing, and tracking payments from parents.• Communication:
Communicate effectively with parents regarding daycare policies, events, and updates.Coordinate with teaching staff to relay messages to parents as needed. Prepare and distribute newsletters, announcements, and other communications.• Supply and Inventory Management:
Order and maintain inventory of oice supplies, classroom materials, and other necessary items.Coordinate maintenance and repair requests for daycare facilities.• Event Coordination:
Assist with planning and organizing daycare events, such as open houses, parent-teacher meetings, and seasonal activities.Help with coordinating parent volunteers and other resources needed for events.Qualifications:• Education:
High school diploma or GED required preferred.• Experience:
Prior experience in an administrative role, preferably within a daycare or educational setting.Familiarity with office software, including Microsoft Oice Suite (Word, Excel, Outlook).• Skills and Abilities:
Excellent organizational and multitasking skills.Strong interpersonal and communication skills, both written and verbal.Ability to handle sensitive information with confidentiality.Detail-oriented and proactive in problem-solving.• Certifications:
CPR and First Aid certification is a plus or willingness to obtain upon hire.Background check clearance required.Physical Requirements:
Ability to sit at a desk for extended periods and occasionally lift up to 20 pounds.
