Description

The Administrative Assistant II serves as the primary point of contact and representative of Lake Forest Cemetery, ensuring exceptional customer service for residents and visitors. This role requires a compassionate, detail-oriented professional to assist the public with cemetery services while supporting a range of administrative tasks. The ideal candidate is a self-starter who is his motivated to take lead and the day-to-day administrative functions of the cemetery.

This position is ideal for an experienced office professional with excellent technical and organizational skills, a passion for helping others, and a respectful approach to sensitive matters. You will help maintain cemetery records, assist in burials coordination, and uphold the cemetery's public-facing presence through administrative duties and customer support.

Starting Salary Range: $59,371 - $68,097 DOQ

Full Salary Range: $59,371 - $85,550

Under the supervision of the City Clerk, the Administrative Assistant II will be responsible for:Burial Coordination : Process and manage all burial-related documentation including orders, invoices, permits, authorizations, and legal documents.Records Management : Maintain and update cemetery records, maps, and the

Cemetery Information Management System (CIMS) . Ensure accurate data through on-site verification of lots, memorials, and burial locations.Customer Service : Provide respectful and compassionate assistance to families, vendors, and visitors. Offer information and guidance on cemetery services and direct inquiries accordingly.Standard Operating Procedures : Maintain a

Standard Operating Procedures (SOP) Manual

for cemetery operations.Website & Social Media : Oversee and update the cemetery's website and social media channels, ensuring timely and relevant information is accessible to the public.Accounting Support : Assist with accounts payable, and other financial transactions to ensure smooth cemetery operations.General Assistance : Support team members with light housekeeping to contribute to a well-maintained environment at the Cemetery Gatehouse and other duties as assigned.Qualifications

Minimum

3+ years of administrative experience

or in a related field.Detail-oriented with strong organizational skills and the ability to work independently.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experienced in using various office software.Ability to become licensed as a

Cemetery Customer Service Employee

(through the Illinois Cemetery and Funeral Home Association) within the first year of employment.Experience or familiarity with cemetery operations is a plus.Strong communication and interpersonal skills, with the ability to handle sensitive matters with compassion and discretion.

Supplemental Information

This is a

full-time position

with working hours from 8:00 AM to 4:30 PM, Monday through Friday. Occasional evening work may be required. We offer a collaborative and respectful work environment where your contributions will be valued in serving the community during critical moments.
