Summary of Role

AdCellerant is seeking an Administrative Assistant to execute a broad range of administrative tasks to help the company run smoothly. The Administrative Assistant will be responsible for seeing to all the little details that make the big picture work!

This position requires creative problem solving, smart prioritization, high levels of organization, attention to detail, and the ability to switch to new tasks as needed. Critical thinking, great interpersonal skills, and excellent written communication are crucial for this role. This person will report to the Director of People Operations and Administration, and will help skyrocket the efforts of this department which includes administrative support across the company, in office operations, employee engagement priorities, and more!

Duties include typical office admin duties such as ordering office supplies, communicating with and managing vendors, scheduling office events, managing office resources, stocking drinks and snacks, etc. Additional administrative duties include booking travel for team members and clients, scheduling internal and external calls and managing busy calendars, planning company events, ordering food and scheduling catering for meetings, communicating company announcements to the team, creating professional and informative announcements, and more. The person in this role will also assist employee onboarding efforts, manage user access and settings in certain platforms, and may be called upon to assist with recruiting duties as well.

This is a hybrid position with

3 days per week in the Denver office , and 2 days from home. The schedule can be flexible and may change based on business needs.

Responsibilities

Essential Duties

Assist the Director of People Operations and Administration with all tasks as neededAssist in administrative capacity across all departments as neededOrder office supplies, snacks, and drinksManage vendor relationships, vendor contracts, vendor communicationResearch as needed for finding out about new products, new vendors, etc.Become familiar with company programs and resources for employees, answer questions and solve problems related to office operations and established policies and proceduresCoordinate office workspace planningCreate clear, concise, informative and friendly announcements to the company as neededSchedule with internal and external parties on busy calendarsAssist with employee onboarding, scheduling onboarding meetings, taking ownership of processes, etcExercise high level of sound decision makingSpecial event planning and catering, such as ordering food from caterers, delivering food, clean up, etcCollect, open, sort and distribute office mailManage main office phone line, office access phone line and others (app on cell phone)Book travel for employees and clientsTrack and compile various reports including budget reporting, sustainability reporting, and moreMonitor office activity (office access, office visitors)Perform tasks effectively with in given time framesOrganize and monitor kitchen, organize provided snacks and drinks, stock all fridgesFollow all systems and procedures and help develop new efficienciesMaintain confidentiality for executives, sensitive employee information, candidate information, and moreAdditional tasks as neededRequirements

This is a hybrid role. Ability to report to the Denver, CO office is required. Work from home available.

Team members must live and work in the United States* (*territories excluded), and have access to reliable, high-speed internet.

Compensation

$26/hr. Non-exempt. Full time.

Target annual compensation: $54,000
