Organizes and manages the department's routine functions to meet the objectives of the department and district while serving as administrative assistant to the Assistant Chief of PoliceProvides work direction for support staffPerforms administrative duties including maintaining a filing system, processing routine correspondence, typing documents and correspondence, and signing routine correspondences as neededReceives telephone calls, personally handles matters of a diverse and confidential nature including answering substantive questionsMaintains confidentiality of information contained in source documentsMaintains daily attendance and payroll as neededPrepares/processes documents including the following: service agreements, contracts, travel forms, payroll corrections, maintenance/IT ticketsEnters and processes requisitions as neededSchedule meetings for Assistant ChiefLeave & Restrictive Duty Lists - weekly updatesFacilitate the departure of Personnel from Resignations or RetirementsWork with the Personnel Unit to prepare and schedule promotional ceremoniesWork with the Personnel Unit to schedule promotional examsFiles, Off-Duty Requests, Support Services Time Off Requests, Vehicle tag informationBilling of department servicesPerforms all other tasks and duties as assignedQualifications

Demonstrated proficiency in computer skills with software applications, Microsoft Windows, Microsoft Office Professional, Oracle, and other database systemsAbility to successfully complete assignments with limited supervisionDemonstrated task oriented self-starter with the ability to perform with a high degree of accuracyDemonstrated strong skills in record keeping and highly detailed orientedDemonstrated excellent organizational, communication, customer service, and interpersonal skillsDemonstrated ability to meet established deadlinesDemonstrated ability to remain focused in an environment of frequent distractionsDemonstrated ability to communicate and interact effectively with a wide variety of district personnel and the publicDemonstrated planning and problem solving/investigative skills as required to research inquiriesDemonstrated ability to respond to common inquiries or complaints from department employees, parents, or board membersMust possess ability to coordinate multiple projects and assignments; high degree of flexibility requiredKnowledgeable of District organization, operations, and administrative policiesBilingual preferred but not required
