BASIC FUNCTIONS:

The Administrative Coordinator plays a vital role in supporting the efficient operation of an organization by managing administrative tasks, facilitating communication, and ensuring the smooth flow of office operations. They are responsible for coordinating administrative activities, managing schedules, handling correspondence, requisitions, and assisting various departments as needed.

NATURE AND SCOPE:

Internal contacts generally include administrators, faculty, students and staff. External contacts generally include vendors, consultants, visitors and the general public.

PRINCIPAL ACCOUNTABILITIES:

Provides administrative support for the Director.Controls the workflow of the office. Implements office procedures and practices. Relays directions from supervisor to coordinate administrative procedures to department and/or among other offices.Prepares requests for travel authorization, staple orders, and other services requests as needed.Maintains and monitors inventory of supplies and procures supplies, equipment, and services, as required.Prepares confidential correspondence and reports. Determines and makes needed corrections to produce an error-free final copy. Assembles data composes and distributes a variety of correspondence for the department.Searches files and other information sources to answer questions or assemble data for supervisor and other team members.Uses automation to schedule participants for projects and track appointments, events, deadlines, and other pending matters.Manages mail for the department. Takes appropriate action including researching issues and referring information to the proper person for reply.Reviews and processes a variety of forms both online and hardcopy.Manages the center's main phone line and e-mail account. Takes appropriate action in responding promptly.Manages suite maintenance and any necessary repairs needed. Takes appropriate action with facilities, housekeeping, or external vendors to ensure the suite is pristine and environmentally friendly.Assist with all social events for the center.Works directly with professional, technical, and/or supervisory staff to assist in general duties.Ensures all equipment is in place and operating properly.Performs other related duties as assigned. MINIMUM REQUIREMENTS:

High School diploma or GED, bachelors, or associates degree preferred with a minimum of two years of relevant experience.
