MAIN FUNCTION

Bright Star Schools is seeking a highly organized, proactive, and professional Executive Assistant to support the school's executive team. The ideal candidate will possess exceptional communication and organizational skills and demonstrate the ability to handle multiple tasks and projects with a high level of accuracy and confidentiality. This role is critical in ensuring the smooth operation of the executive office and supporting the mission of providing high-quality education to our students.ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:Provide comprehensive administrative support to the executive team and other senior leaders.Organize and coordinate special events, board meetings, and other school functions.Support the management and maintenance of executive schedules, including coordinating meetings, appointments, and travel arrangements.Attend Board meetings and provide comprehensive secretarial and administrative support, where relevant. This may include managing the logistical details for in-person retreats; preparing agendas and supporting materials, recording and preparing meeting minutes, maintaining and updating Board policy manuals and handbooks, and keeping official records of the minutes for publication.Prepare and edit correspondence, reports, presentations, and other documents as needed.Serve as the primary point of contact for internal and external stakeholders, managing inquiries and facilitating communication.Facilitate communication and information exchange by obtaining, interpreting, and providing details about office functions, policies, and procedures to officials, teachers, parents, organizations, and others; distribute copies of relevant policies upon request.Help resolve concerns from parents and community members; manage the appointment calendar for the executive team and other senior leaders; schedule group meetings and handle confidential or sensitive information appropriately.Assist with the preparation and distribution of meeting agendas, minutes, and materials.Handle confidential information with discretion and maintain a high level of integrity.Manage office operations, which includes opening and closing of the office; welcoming internal and external visitorsManage office supplies and equipment, ensuring the executive office is well-stocked and organized.Support the development and implementation of school policies and procedures.Participate in meetings and organize activities relevant to your assigned field.Perform other duties as assigned by the executive team.Qualifications

Required Qualifications

AA degree or experience in related field required.Minimum of 2-4 years of experience as an executive assistant or in a similar administrative role.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.Strong written and verbal communication skills.High level of professionalism and discretion in handling confidential information.Ability to work independently and as part of a team.Ability to work in service of long-term and short-term goals; flexibility to adapt and modify when neededStrong problem-solving skills and attention to detail.Exceptional organizational and time-management skills, with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.Ability to lift 15-30 lbs.Will require travel to various locations across the organization's geographical clustersMust have CA Driver LicensePreferred Qualifications

Bachelor's degree in Business Administration, Education, or a related field preferred.Experience in an educational setting or non-profit organization is a plus.Bilingual in English and Spanish is desirable.Compensation and Benefits
