Job Details:Our firm is seeking a dynamic and experienced Executive Assistant. This role requires an individual who is professional, detail-oriented, organized, and can manage multiple tasks simultaneously. The ideal candidate will have a minimum of 5 years of experience in a similar role, with a strong focus on calendar management and organization. This position will work closely with our executive team, providing high-level administrative support that includes a variety of administrative tasks, project coordination, and maintaining confidential and sensitive information.
Responsibilities:Provide full administrative support to the executive team, including managing complex calendar scheduling, arranging travel itineraries, and coordinating meetings.Coordinate and manage special projects as assigned, ensuring deadlines are met.Prepare and edit correspondence, communications, presentations, and other documents.File and retrieve documents and reference materials.Conduct research, collect and analyze data to prepare reports and documents.Manage and maintain executives' schedules, appointments, and travel arrangements.Arrange and coordinate meetings and events.Record, transcribe, and distribute minutes of meetings.Monitor, screen, respond to, and distribute incoming communications.Interact with clients, senior management, and other staff members professionally and efficiently.Ensure smooth and efficient flow of day-to-day operations.Uphold a strict level of confidentiality and professionalism.Qualifications:
A minimum of 5 years of experience as an Executive Assistant or similar role.Bachelor's degree in Business Administration or related field is preferred.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Experience with calendar management and organization.Excellent verbal and written communication skills.Strong organizational skills and ability to multi-task.Ability to work independently and as part of a team.Excellent problem-solving and decision-making skills.Ability to handle confidential information with discretion.Strong attention to detail.Ability to work in a fast-paced, dynamic environment.Proven ability to handle multiple projects while meeting deadlines.Exceptional customer service skills.
